Program OECO, Sales Order Copy, is used to copy sales orders, invoices, and quotes. When the order is copied, the sales location, all summary information, sales representative information, and comments are copied to the new order.
The following restrictions apply:
If copying to an new order type of ORD, then the new status must be Incomplete, Open Order, Quote, or Template.
If copying to a new order type of anything but ORD, the new status must be Fully Shipped.
Type ORD orders are created in program OEOE, Sales Order Entry Maintenance, or program OQEM, Sales Order Quotation Entry/Maintenance, if the order is a quote. Type INV, CM, CN, DM and DN order are created in program ARIE, One Step Invoice Entry.
When necessary, such as when creating a reversing debit note or memo, the price override switch will be set to on to prevent price recalculation, the quantity signs will be reversed, and the apply to invoice copied from the order from which the note or memo was copied. This enables the user to create an exact opposite of an order that was created in error so that the order can be reversed. Reversed orders can only be created for Invoiced (status V) orders. When reversing payments the last four digits of the credit card will be stored in the Driver's License/Authorization field. At this time, the sales order system is not then validating a user entered credit card number against it.
Debit and credit notes are always confirmed on creation from this program. The OECO_AUTO_CONFIRM_LLL parameter in program MURM, Initialization Parameter Maintenance, determines whether debit and credit memos will be automatically confirmed on creation from this program. This is a sales location specific parameter, where the LLL is the desired sales location code.
When the parameter is set to Y, credit and debit memos are confirmed on creation.
When the parameter is set to N, null, or non-existent, credit and debit memos are not confirmed and must be manually confirmed in program ARIE, One-Step Invoice Entry, before they can be processed through program OESJ, Sales Order End of Day and Journals.
Restricting Customer / Item Purchases
Sales Restrictions by Low Stock Allocation
1. Query the sales order that you want to copy.
2. The sales order number for the new order can be manually entered or automatically generated.
To manually determine the sales order number, enter the new sales order number in the New Order No. field. If you do not enter a sales order suffix, the system will determine the suffix. If the sales order has not been used before, the suffix will be 0. Otherwise, it will be the next in the sequence for the sales order number.
If you wish the sales order number to be automatically generated, leave the New Order No field blank.
3. If you wish the new order to be created for a different customer than the one in the Cust. No field, enter the desired customer number in the New Cust. No. field. If the new customer is in a different sales location, the new order will have the sales location of the new customer. The only time this will not occur is if the [Create Exact Copy] button is pressed. In that case, the sales location from the original order will copy to the new order.
4. In the New Type pop-list, select the type of order than you will be creating from this order.
Type Order is created and can be maintained in program OEOE, Sales Order Entry Maintenance.
Types Invoice, Credit Note, Credit Memo, Debit Note, and Debit Memo are created and can be maintained in program ARIE, One Step Invoice Entry.
Type Quote is created and can be maintained in program OQEM, Sales Order Quotation Entry/Maintenance.
5. If the order that you are creating is intended to reverse the order from which you are copying, set the Create Reversing Order flag to on.

6. If the order that you are creating is a reversing order and the original order had payments entered in the payment block of the Summary page, you can reverse the payments by setting the Reverse Payments flag to on.
7. In the New Status pop-list, select the status for the order that you will be creating.
When accessing this program from the menu, the default value for this pop-list when copying to Order types is determined by the OECO_DEFAULT_STATUS parameter in program MURM, Initialization Parameter Maintenance. If the parameter value is blank, then the default value is determined by the Initial Order Status from program ARLM, Location Maintenance.
8. If pricing should be recalculated for the new order, set the Preserve Pricing flag to off. Otherwise, the pricing from the original order will be preserved.
9. If the unit cost from the original order should be preserved on the new order, set the Preserve Unit Cost flag to on. Otherwise, the unit cost will be recalculated on the new sales order.
10. Enter the appropriate initials in the New Initials field.
11. In the New Req Dt field, enter the required date for the new order.
The program will ask if you want to update the line item due dates. Select Update Line Items or Don't Update Line Items.
12. In the New PO No/Ln# fields, enter the customer's purchase order number and customer purchase order line number, if appropriate.
13. In the New Ship to field, enter the ship to customer code, if it differs from the displayed ship to customer code.
You can enter DROP in this field and when the order is created, the customer's address from the customer master record will be inserted as the ship to address.
14. In the New Bill to field, enter the bill to customer number, if it differs from the displayed bill to customer number.
15. In the New Invoice No field, you can enter a new invoice number, if appropriate.
16. In the New Apply to Inv field, if the new order will be applied to an existing invoice, enter the invoice number to which it will be applied.
17. If the sales representative information is to be copied to the new order, set the Sales Rep Info flag to on.
This includes the sales representatives and commission codes for the order header and order lines.
18. If the contract information is to be copied to the new order, set the Contract Info flag to on.
This includes the unique ID and contract pricing.
19. If the comments from the sales order header are to be copied to the new order, set the Header Comments flag to on.
20. If the order line comments are to be copied to the new order, set the Line Comments flag to on.
21. In the lower block, the order lines from the original order are displayed. The item numbers and descriptions cannot be changed.
22. For each order line that will be copied, in the New Qty field, enter the quantity of the item to be copied to the new order.
For more information on the order line, you can press the [More Info] button.
23. For each order line that will be copied, in the New Cust PO field, enter the new customer purchase order number for the sales order line.
24. For each order line that will be copied, in the Ln# field, enter the number customer purchase order line number for the sales order line.
25. For each order line, in the Due Date field, enter the new order line due date if it differs from the default.
26. For each order line, in the Buyer field, enter the new buyer code for the sales order line, if appropriate and if it differs from the default.
27. For the order lines that are to be copied to the new order, set the Copy flag to on.
28. When all of the displayed information is correct, press the [Create New Order].
Press this button to create a new sales order as an exact copy of the original sales order. The following rules apply:
The New Type must be Order, regardless of the Order Type of the original order.
The New Status can be only I - In Process Order, O - Open Order, Q - Quote, or T - Template.
The quantity shipped and quantity backordered on the new order will be zero.
The invoice information will not be copied.
For the payment information, if the pay status has been posted or cancelled, the Payflow Pro authorization information will be removed, and the payment will have to be reauthorized.
The Print on Pick List and Print on Pack List flags will be set to on for the sales order lines, regardless of their settings on the original order.
The Pick Print Flag, Pack Print Flag, Print Invoice, and Print Acknowledgement flags will be set to on in the sales order header, regardless of their settings on the original order.
If a purchase order or work order was created for the original sales order, the purchase order number or work order number will not be copied to the new sales order.
If the customer on the new order is in a different sales location, the sales location from the original order will default onto the new order.
Press this button to create a new order from the entered information.
Press this button to display more information for the order line. The information includes unit price, unit cost, flat discount, price override flag, non-stock item flag, sales unit of measure, drop ship flag, taxable flag, contract number, unique ID, blanket order release number, vendor number, purchase order number, and purchase order line number.
