Program OQEM, Sales Order Quotation Entry/Maintenance, is used to enter a sales quotation. A sales quotation is a 'what if' order which does not affect inventory or financial data. Sales quotations can be entered for both customers and prospects.

A sales quotation can be turned into a sales order with the same order number that can be viewed in program OEOE, Sales Order Entry/Maintenance. Any quotation listed in program OQEM, Sales Order Quotation Entry/Maintenance, is a quotation, not a sales order.

The features of this program are similar to those of program OEOE, Sales Order Entry/Maintenance. However, you can not create job orders in this program.

Contract Pricing

If you want to use contract pricing in program OQEM, Sales Order Quotation Entry/Maintenance, the Unique ID must be entered in the Contract ID field with the [Other Details] button.

You can enter multiple contract lines for the same item on the same customer contract by entering different unique ID's. During sales order entry, when you enter a unique ID, the price for that customer and ID will be displayed.

 

Rollout Templates for Mass Sales Order Creation

Rollout templates can be created in this program, and are used to create mass sales orders for multiple customers and ship to codes with program OERO, Order Entry Rollout Maintenance.

Rollout templates are created the same as a normal quote, except the status field should be set to Rollout Template. You cannot press the [Create Order] button to create a sales order from a rollout template.

When the pop-list is set to Rollout Template, the Cust PO field becomes the Desc field for the entry of a description for the template, the Auto-Select flag becomes available in the lower block for each line item, and the Keyword field becomes available. These are all features used with the lead management features.

Prospect Quotations

Quotations can be entered for prospects. When a quotation is entered for a prospect, the quotation amounts are written to the prospect forecast records in program PRMM, Prospect Master Maintenance. These forecast records are used to determine revenue expected from prospects in the future.

Quotations entered for prospects can also be turned into sales orders. If the prospect exists in program PRMM, Prospect Master Maintenance, but no customer record exists for the prospect, when you press the [Create Order] button, the program will ask if you wish to create a customer from the prospect record.

When a sales order is created from a quotation, the Keep Quotes as Won flag in program ARLM, Location Maintenance, determines how the sales order will be created.

Quotations can also have their status changed to L - Lost, A - Abandoned, or W- Won.

Numbering and Renumbering Sales Order Lines

Sales order line numbers are assigned by the program as the line items are entered. You can enter them manually.

To enter a sales order line in between two other line items, place the cursor on the bottom sales order line. Press [New Record].

To renumber all line items, press the [Renumber Lines] image\ebx_518836331.gif button.

Quotation Pricing

Quote pricing can be added to the pricing matrix automatically so when the customer places an order for the item in a specified time frame, the quoted price will be used.

The following set up must be completed.

ARLM, Location Maintenance:

Set the Save Quote Price flag to on. This indicates that quoted prices should be added to the price matrix.

In the Quote Effective Days field, enter the number of days after the quote date that the quote price is to be used.

CMMM, Customer Master Maintenance, Attributes Tab:

If the customer's quote effective days differs from that entered in program ARLM, Location Maintenance, enter the number of days after the quote date that the quote price is to be used for this customer in the Quote Days Valid field. The entry here overrides the entry in program ARLM, Location Maintenance.

OQEM, Sales Order Quotation Entry/Maintenance:

Enter a quote for the customer. For the item entered, set the override flag to on, and enter the new unit price. The unit price entered will be added to the price matrix in program CMPC, Price Matrix Maintenance, for the customer and item. The entry will be made with the effective dates of the quote date to the date calculated using the quote effective days entered for the customer or sales location.

CMPC, Price Matrix Maintenance:

The quoted price is added to this program. If there are existing price matrix entries for the customer and item with effective dates that fall into the period for which the new quoted price was created, the existing entries will have their Effective To date updated to the quoted date - 1.

For example: you have a customer and item set up in the price matrix with the following effective dates.

When sales orders are entered for the customer and item, the quoted price is added to the pricing calculations. For more information on sales order pricing, see the Pricing section.

 

Comments Lists of Values

Comments displayed here are sorted according to the OE_COMMENT_SORT parameter in program MURM, Initialization Parameter Maintenance.

The setting of the COMMENT_LOV_OQEM parameter in program MURM, Initialization Parameter Maintenance, determines whether the boilerplate list of values or a field editor will be displayed when the user double-clicks in the comment text field in this program.

Entering Sales Order Quotations

1. In the Cust No field, enter the customer number or prospect number for which you are entering a sales quotation.

2. Set the status pop-list to the desired setting.

3. In the Required Date field, enter the date that the customer requires the order. The default required date is calculated according to the Ship Date Calculation pop-list setting in program ARLM, Location Maintenance, but it can be changed.

4. In the Location field, enter the sales location in which you entering the sales order quotation.

5. In the Ordered date field, enter the order date.

6. In the Init field, enter your initials.

7. In the Quoted field, enter the date that the order was quoted to the customer.

8. In the Sale Rsn field, enter the sales reason code.

9. In the Cust PO field, if you are entering a sales order quotation, enter the customer's purchase order number for reference, if desired.

10. In the Ship Date field, enter the date the order will be shipped. The default ship date is calculated according to the Ship Date Calculation pop-list setting in program ARLM, Location Maintenance, but it can be changed.

11. In the User Ref fields, enter the information for this quotation. These fields are optional.

12. Sales representatives can be credited with an order using the [Sales Reps] button in the header. For more information on sales representative commissions, see the Entering Sales Representative Commissions section.

13. Order codes, including ship via, FOB, terms, and freight, can be changed when you press the [Order Codes] button. These codes default from the customer record in program CMMM, Customer Master Maintenance. The following changes can also be made.

14. Addresses can be changed with the [Address] button.

15. If the sales location needs to be changed, you can change it with the [Location] button.

16. Order tracking can be maintained with the [Tracking] button.

17. The sales order number will be assigned when the order is committed, or you can manually enter the sales order number.

18. Press the [Header OK] button. This will commit the header and move the cursor into the lower block.

19. The cursor is moved into the Item No field in the lower block. In the Item No field, enter the item number that is being ordered.

20. In the Sales UOM field, enter the sales unit of measure for the item.

21. In the Qty Order field, enter the order quantity.

22. In the Due Date field, enter the date by which this sales order line must be shipped.

23. Set the Override flag to the desired setting. When this flag is set to on, you can change the price in the Unit Price field.

24. In the User field, enter the user discount percentage for the sales order line.

25. In the Addtnl field, enter any additional discount percentage for the sales order line.

26. In the Flat Disc field, you can enter a flat discount, if desired.

27. You can change the extended price in the Extension field, if desired.

28. In the List Price field, a list price must be entered for non-stock items.

29. The cursor goes to the Unit Price field. The unit price defaults to the list price, and cannot be changed unless the Override flag is set to on.

30. You can place an order line on hold automatically by setting the Hold flag to on.

31. In the Plant field, you can change the default ship from plant. This is the plant from which the inventory will be shipped and for which sales allocations are made for this order line.

32. Press the [Other Details] button. The Other Details button has six tabs.

If the item is a non-stock item or non-maintain on hand item, enter the unit cost.

The cost in the Unit Cost field may be able to be maintained or overridden for items other than non-stocked items. If the cost can be overridden, set the Override Cost flag to on and enter the desired cost in the Unit Cost field.

For stocked items, the unit cost will be displayed if the Show Unit Cost flag in program ARLM, Location Maintenance, is set to on. This cost is entered automatically from the cost record or from the purchase order if this is a drop ship invoice line.

If the cost is changed in the item cost record before the invoice is shipped, when the invoice is shipped, the unit cost will be updated to the current unit cost.

33. If the item that you entered is a modular item, press the [Configure] button to configure it. See the information on program MOCF, Modular Bill Configuration.

34. Repeat steps 17 to 32 until the sales order quotation is complete. Press [Commit].

35. To view the units of measure that can be used for the item, press the [Unit Conv] button.

36. Pricing for the item can be viewed with the [Pricing] button.

37. To view buying and selling information for the item, press the [Positions] button.

38. The available to promise inventory information can be viewed with the [ATP] button.

39. Item quantities and locations can be viewed with the [Stock Status] button.

40. Items can be substituted or superseded. For more on superseding and substituting items, see the Entering Substitute and Supersede Items on a Sales Order Quotation section.

41. Sales representatives can be credited with a line item using the [Sales Reps] button in the lower block. For more on sales representative commissions, see the Entering Sales Representative Commissions section.

42. Press the [Model Dtls] button to view the model component items.

43. Press the [Summary] button in the order header.

44. In the Freight Charges field, enter the freight charges, if desired.

45. In the Freight Cost field, enter the freight cost, if desired.

46. In the Tax ID field, enter the tax code, if desired.

47. In the Misc Charges section, enter miscellaneous codes and charges, if desired.

48. In the Disc Pct field, enter the discount percentage. If you enter a percentage here, the discount you enter will be taken from the order total.

49. In the Previous Payments (deposits) field, enter any deposit promised by the customer.

50. In the No. of Cartons field, enter the number of cartons for the order, if desired.

51. In the Carrier field, enter the freight vendor, if desired.

52. You can enter payment information in the lower block of the Summary screen, if appropriate.

Creating Sales Orders from Quotations

1. Enter the sales quotation.

2. Press [Create Order].

3. The line items on the sales quote will be displayed. If you have not created a purchase order or a work order for a sales quotation line, you can do so at this point.

4. To create a work order for a sales quote line, set the Create WO flag to on for the desired line item.

5. To create a purchase order for a sales quote line, set the Create PO flag to on for the desired line item.

6. Press the [Create Order] button.

7. To create the sales order, and the work orders and purchase orders for the selected line items, press the [Create] button.

 Otherwise, press [Cancel]

8. If you pressed the [Create] button, the following alerts will be displayed for the line items that were selected to have a work order or purchase order created. The final alert indicates that the sales order has been created and can be viewed in program OEOE, Sales Order Entry Maintenance.

Creating Rollout Templates

1. In the Cust No field, enter a customer number for which you are creating the rollout template.

2. Set the status pop-list to Rollout Template.

3. In the Required field, enter the date that the customer requires the order. The default required date is calculated according to the Ship Date Calculation pop-list setting in program ARLM, Location Maintenance, but it can be changed.

4. In the Location field, enter the sales location in which you entering the sales order quotation.

6. In the Ship-To Code field, enter the customer's ship to code that defines to which address this order will be shipped.

7In the Quoted field, enter the date that the order was quoted to the customer.

8. In the Sale Rsn field, enter the sales reason code.

9. In the Desc field, enter a description for the rollout template.

34. Press the [Other Details] button. The Other Details button has six tabs.

Entering Sales Representative Commissions

 

1. There are two types of sales representative commissions that can be entered - line item and sales order.

2. Enter the sales representative who will receive the commission. The sales representative assigned to the customer in program CMMM, Customer Master Maintenance, defaults as the sales representative in the header.

3. For sales representatives entered in the lower block, enter the commission code. The commission code you enter is used to determine the commission rate for the sales representative and line item.

4. Enter the commission value percent. The commission value percent does not have to equal one hundred. If there are five sales representatives assigned to the order or to an order line, each of them can have their commission calculated from one hundred percent of the order total.

5. Press [Commit].

Canceling Sales Order Quotations

There are two ways to cancel a sales order in this program.

Entering Substitute and Supersede Items on Sales Order Quotations

1. To substitute one item for another, put your cursor on the desired line item and press the [Substitute] button. Once a substituted item is committed, the item can not be changed. You must delete the item and re-enter it.

2. If an item has been superseded in program ICAM, Supersede/Substitute Maintenance, then when the item that has been superseded is entered in this program, the program will return an alert box stating that the item has been superseded by another item. The item that supersedes the item that you entered will then be automatically inserted in the record. Once a superseded item is committed, the item cannot be changed. You must delete the item and re-enter it.

Creating Work Orders or Production Schedules from Quotations

1. To create a work order, the manufacturing method pop-list in program ICPM, Inventory Planning Data Maintenance, must be set to work order.

2. To create production schedule, the manufacturing method pop-list in program ICPM, Inventory Planning Data Maintenance, must be set to Prod Sched.

3. Enter the sales order.

4. Press [Write WO].

5. Press [Ok] to create the work order.

5. The work order or production schedule will be created in the default manufacturing enterprise and plant for the item from program ICEM, Item/Plant Maintenance.

6. The production due date of the work order or production schedule is determined by the production delay days entered in program SPMM, System Parameters/Default Maintenance.

7. Work orders and production schedules can also be created when a sales order is created from the sales quotation. For more information, see the Creating a Sales Order from a Quotation section.

 

Creating Purchase Orders from Sales Quotes

1. Enter the sales quote.

2. The sales order can be a direct, or drop ship, order, but you can also enter purchase orders for non-direct sales orders.

3. Press the [Other Details] button.

4. Set the Direct flag to on, if this is a direct, or drop ship order. If it is not, leave the Direct flag set to off.

5. Enter the vendor who will ship the order.

6. Press [Commit].

7. Return to the main page.

8. Press [Write PO].

9. Press [Ok] to create the purchase order.

10. A purchase order will be created in program POEM, P.O. Entry/Maintenance, where it can be viewed and maintained.

All comments containing the type entered in the parameter will be copied. For example, if the type entered is PO, comments with PO, POR, POQ, QAPO, etc will be copied.

11. Purchase orders can also be created when a sales order is created from the sales quotation, as long as a vendor is entered in the [Other Details] screen. For more information, see the Creating a Sales Order from a Quotation section.

 

Copying Sales Orders

1. Query the sales order that you want to copy.

2. Press the [Copy Order] button.

3. The program will display the order information for the selected order.

4. See program OECO, Sales Order Copy, for more information.

 

Searching for Customer/Prospect Addresses

 

You must enter a zip code range, a customer name, or an address line to perform a search. Press the [Clear] button to clear any earlier searches entered in this program.

1. In the Zip From field, enter the first zip code in the range of zip codes for which you are searching for customers and addresses.

2. In the Zip To field, enter the last zip code in the range of zip code for which you are searching for customers and addresses.

3. In the Customer Name field, enter the customer name for which you are searching for addresses.

4. In the Address 1 field, enter the first address line for which you are searching for addresses.

5. In the Country Cd field, enter the country code for which you are searching for addresses.

6. Set the Bill To flag to on to search the customer master addresses on the Address Tab in program CMMM, Customer Master Maintenance.

7. Set the Mail To flag to on to search the mailing addresses in program MTMM, Mail To/Prospect Input for Catalogs.

8. Set the Ship To flag to on to search the ship to addresses on the Shipping Tab in program CMMM, Customer Master Maintenance.

9. Set the All flag to on to search all three addresses.

10. Press the [Search] button to find the addresses that match the entered criteria.

11. If you wish to only view addresses for customers that have placed orders in the last 3 years, click on the [Quick Search] button instead of the [Search] button.

12. The addresses that match the entered criteria will be displayed in the middle block.

13. When you have located the desired address record, put the cursor on record, and the contacts assigned to it will be displayed in the lower block.

14. To select a customer or prospect and address, put your cursor on the desired record in the middle or lower block and press the [Select] button. The following information will be pulled to the sales order header.

15. Press the [Return] button at any time to return to the main screen without selecting anything.

 

Searching for Items

 

1. Enter the desired search criteria in the fields in the upper block. Press the [Clear] button to clear any earlier searches entered in this program.

2. Press the [Search] button to select the display the items that meet the entered criteria.

3. In the lower block, put your cursor in the Item field for the desired item.

4. Press the [Select] button to enter the selected items as a sales order line item. The plant will also be returned to the item line.

5. Press the [Return] button to return to the sales order entry screen without selecting an item.

 

OQEM Action Buttons

Address

Maintain the customer ship to, sold to, invoice to, and bill to addresses.

ATP

View available to promise information for the selected item.

Calc Discount

Press this button to apply the order level discount to all sales order lines. For more information, see the Order Level Discounts section of the Sales Order Entry Features.

Cancel

Cancels the sales order quotation.

Configure

If the ordered item is a modular item, press this button to configure the item. For more information on configuring a modular item, see the Modular Items section and the Modular Bill Manual.

When a purchase order or work order has been created for the sales order line, pressing this button will display the model configuration tree for the model item in a query-only version of program MOCF, Modular Bill Configuration.

Copy Order

Press this button to create a new sales order or quotation by copying an existing sales order or quotation. New orders or quotations can be created from sales orders with any status. For more information, see program OECO, Sales Order Copy.

Create Order

Opens a screen displaying the line items that will be included on the sales order. You have the option of creating work orders and purchase orders for line items at this point. To create the sales order, work orders, and purchase orders, press the [Create Order] button on this screen.

On the Create Order screen, when you press this button, the sales order is created. You have the option of creating just the sales order or the sales order and the selected work orders and purchase orders. When the sales order is created, it can be viewed and maintained with program OEOE, Sales Order Entry Maintenance.

Freight

Press this button to return the custom calculated estimated freight charge to the Freight Charges field, if applicable.

Header OK

Commits the header and places the cursor in the lower block for item entry.

Press this button to display the item search screen. For more information, see the Searching for Items section

Location

Maintain the location information for the order, including financial enterprise, bank, manufacturing enterprise, and plant information.

Model Dtls

Press this button to view information about the component items of the selected model item.

Order Codes

Maintain the ship via, freight, FOB, terms, and hold codes for this order. You can also maintain the acknowledgment, ship complete only, pick print, and pack print flags.

Other Details

Maintain line item details, including the Direct flag and vendor information for direct orders.

Positions

View buying or selling information for the item. This includes customer or vendor, quantity, price, and sales order number or purchase order number.

Pricing

Press this button to view the promotional items for this sales order line and customer.

Quick Search
Under [Search], press this button to query only customers that have placed orders in the last 3 years. This button is only displayed when the CUST_QUICK_SEARCH_BUTTON parameter is set to YES in program MURM, Initialization Parameter Maintenance.
Renumber Line Items

Located under the [Renumber Lines] image\ebx_518836331.gif button, press this button to complete the renumbering process.

Press this button to renumber the line items. Enter the increment by which you wish to renumber the line items. Press the [Renumber Line Items] button, and the line items will be renumbered using the entered renumber increment.

Press this button to re-calculate the pricing of the order lines according to the new catalog ID entered.

Sales Reps

In the upper block, press this button to assign sales representatives to the sales order. Sales representatives entered with this button should have a commission scheme of volume. The customer's sales representative from program CMMM, Customer Master Maintenance, is the default, but other sales representatives can be added. The commission code for the sales representative from program SMMM, Sales Representative Master Maintenance, is always used, no matter what commission code is entered here.

In the lower block, press this button to assign sales representatives to a line item. Sales representatives entered with this button should have a commission scheme of product. The commission code entered here is used to determine the commission rate for the sales representative and item entered for the line.

This button allows you to enter and update ship to codes for the customer from sales order entry. For more information, see the Ship To Code Updates section of the NDS Help.

Press this button to display the customer/prospect address search screen. For more information on searching for customer addresses with this screen, see the Searching for Customer Addresses section.

Under [Search], press this button to display the customer/prospect addresses that meet the entered criteria.

Select

Under [Substitute], press this button to substitute the selected item for the entered item.

Under [Search], press this button to return the following information to the sales order.

Show Reserved

Press this button to view the existing reservations for the item.

This button brightens when there are multiple ship to addresses for the customer. Press the button and a list of values is displayed from which you can pick the desired ship to code.

Stock Status

View stock status information, including on hand, available, and on order quantities for the selected item.

Substitutes

Press this button to substitute another item for the selected item. Substitute items are set up in program ICAM, Supersede/Substitute Maintenance.

Summary

Maintain the order summary information, including extra charges, deposits, discounts, and the carrier.

Press this button to select the customer for the sales order according to telephone number. For more information see Sales Order Entry by Phone Number.

Tracking

Maintain the order tracking information.

Unit Conv

View the unit of measure conversions, stock and sales, for the selected item.

Press this button to submit the payment to the Payflow Pro software for payment processing. Only payments for which the payment type is designated as Credit Card in program SPPT, Payment Type Maintenance, can be used. For more information see the Payflow Pro Payment Processing section.

View the codes sent back from Payflow Pro when the credit card was authorized.

Update Card Info

On the Payflow Pro Response screen, press this button to update the credit card information for this customer in program CMCM, Customer Credit Maintenance, with this credit card, AVS Address, and AVS Zip. Credit card information cannot be updated for prospects who are not also customers.

Write PO

Create a purchase order from the sales quote. You must enter the vendor information under [Other Details], and a purchase order can be created from the sales quote. When the purchase order is created, it becomes possible for you to view the purchase order in program POEM, Purchase Order Entry/Maintenance. In program OQEM, Sales Order Entry/Maintenance, the purchase order number will also be displayed. You must create a purchase order for each line item in the sales quote separately.

Write WO

Create a work order or production schedule from the sales quotation. This is decided from the default in program ICPM, Inventory Planning Data Maintenance, where the Manufacturing Method pop-list contains that default. The work order will be created in the default manufacturing plant entered for the item in program ICEM, Item/Plant Maintenance.

If the Cascade WO Release in OE flag is set to on for the line item in program ICPM, Inventory Planning Data Maintenance, work orders will be created for the line item and its component items. For more information, see the Work Orders and Production Schedules section.
