Program MTMM, Mail To/Prospect Input for Catalogs, is used to enter and maintain mailing addresses and contact records for customers and prospects. You cannot delete mail to addresses that have the Catalog Ok flag set to on in this program.
Template customers should be authorized for all financial enterprises. Customers created from template customers will be authorized in all of the financial enterprises for which the template customer is authorized.

In the Prospect ID/Customer ID field, enter the customer or prospect number for which you are entering mailing information and contacts. At this point, the fields in the top block do not have to be entered.
You can search for a prospect/customer using the customer search feature. Access this by double clicking in the Customer No. field. Refer to program CSRCH, Customer Search for detailed instructions.
This field will be labeled Prospect ID if no Template Customer was entered. If a Template Customer was entered, this field will be labeled Customer ID.
You can only enter customers and prospects for the financial enterprise entered in the Ent pop-list in the header. If the Ent pop-list is blank, customers are not restricted by enterprise.
You can only enter customers and prospects for the sales location selected in the Loc pop-list in the header. If the Loc pop-list is blank, customers are not restricted by sales location.
Existing customers and prospects can be entered. When you enter an existing customer or prospect, the label will change to display whether the entry is a customer or a prospect. If the entry is both, the field will be labeled Customer ID.
Multiple mail to ID's can exist for the same customer/prospect.
New customers and prospects can be created. See the Creating New Customers and Prospects section.
Press the [Search] button to open the Customer/Prospect/Contact Search screen. For more information, see Searching for Customer/Prospect Contacts.
2. In the Mail To ID field, enter the mail to ID. If no mail to ID is entered, one will be generated when you save the record.
The mail to ID is used to link the mailing address to the customer/prospect/contact records.
3. In the Mail To Name field, enter the mail to name for this mail to address.
The name will default to the customer or prospect name from the customer master record or prospect master record. It can be overridden.
4. In the Mail To Address fields, enter the mail to street address.
The address fields will default to the customer or prospect addresses from the customer master record or prospect master record. They can be overridden.
5. In the Mail To City field, enter the mail to city.
The city will default to the customer or prospect city from the customer master record or prospect master record. It can be overridden.
6. In the Mail To State field, enter the mail to state.
The state will default to the customer or prospect state from the customer master record or prospect master record. It can be overridden.
The state field is required when the country code is CAN or USA.
7. In the Mail to Zip field, enter the mail to zip code.
The zip code will default to the customer or prospect zip code from the customer master record or prospect master record. It can be overridden.
The zip code field is required when the country code is CAN or USA.
8. In the Mail to Country field, enter the mail to country.
The country will default to the customer or prospect country from the customer master record or prospect master record. It can be overridden.
9. The Short Name and SIC Code fields will be entered automatically for existing customers and prospects, from the appropriate record.
10. The Date Added field displays the date that the mail to address was entered. It defaults to the system date for new mail to addresses.
11. Set the Catalog Ok flag to on if catalogs will be mailed to this customer/prospect at this mail to address.
This flag must be set to on for labels to be printed for the mailing address in program MTMM, Mail To/Prospect Input for Catalogs, or for the mailing address to be included in selections in program CMSU, Mail Label Selector.
This flag defaults from the prospect/customer record for which you are entering the mailing ID.
The Catalog Ok flag setting cascades from the top-level customer/prospect to the mail addresses to the contacts. For example:

You can override at the lower levels, but if the upper level is changed, all lower level records will be updated. So, if you have a customer/prospect with the flag set to on, and one mail to address with the flag set to on, and one mail to address with the flag set to off, if you set the customer/prospect flag to off, all mail to addresses for the customer/prospect and all contacts for the customer/prospect will have the flags updated to off.
12. Set the Selected flag to on if this mailing address is selected for daily mailing with program CMSU, Mail Label Selector.
This flag defaults from the prospect/customer record for which you are entering the mailing ID. The Selected flag setting cascades from the top-level customer/prospect to the mail addresses to the contacts. For example:
If you set the flag to on at the top-level customer/prospect, all mailing addresses in program MTMM, Mail To/Prospect Input for Catalogs, will have the flag set to on, and all contacts for the customer/prospect will have the flag set to on.
If you set the flag to on at the mailing address level, all contacts assigned to the mailing address will have the flag set to on.

13. Set the Mass Mail flag to on if this mailing address is selected for mass mailings in program CMSU, Mail Label Selector.
This flag defaults from the prospect/customer record for which you are entering the mailing ID. The Mass Mail flag setting cascades from the top-level customer/prospect to the mail addresses to the contacts. For example:
If you set the flag to on at the top-level customer/prospect, all mailing addresses in program MTMM, Mail To/Prospect Input for Catalogs, will have the flag set to on, and all contacts for the customer/prospect will have the flag set to on.
If you set the flag to on at the mailing address level, all contacts assigned to the mailing address will have the flag set to on.

14. For Prospects, in the Source Code field, enter the prospect source code.
Prospect sources are user-defined and set up in program PRSM, Prospect Source Maintenance.
15. In the Bus Phone field, enter the business telephone number for this customer/prospect mail to address.
This information is used as the default for contacts entered for the mail to address.
16. In the Fax Phone field, enter the fax telephone number for this customer/prospect mail to address.
This information is used as the default for contacts entered for the mail to address.
17. Press [Commit].
18. When modifying an existing address for a customer, when you save, a pop-up window will be displayed allowing you to change the customer's ship to or bill to address to be the same as the address that you just changed.
The Similarity field on the Bill To Address pop-up and the Ship To Address pop-up indicates how similar the new address is to the customer's bill to and ship to address.
To change the bill to address, on the Bill To Address pop-up, set the Change Bill To Address flag to on. Click on the Ok button.
To change the ship to address, on the Ship To Address pop-up, set the Change Ship To Address flag to on for each ship to address that you wish to change. Click on the Ok button.
1. To create a customer, in the Template Cust field, enter the template customer to be used when creating the customer.
You can use the list of values to select the desired template customer.
The template customer should be authorized in all financial enterprises.
Only customer numbers that begin with TEMPLATE, and customers attached to the template sales orders assigned to employees in program LREE, Employee Maintenance, can be used.
The default template customer is the customer assigned to the MTMM_DEF_CUST_fffpp parameter entered in program MURM, Initialization Parameter Maintenance, for the logged in financial enterprise and plant. The fff is the financial enterprise and pp is the plant code for which the parameter was entered. For example, if you were logged into enterprise 100 and plant 10, the default template customer is taken from the MTMM_DEF_CUST_10010 parameter in program MURM, Initialization Parameter Maintenance.
The information in the new customer record will be taken from the template customer record, and the new customer will be authorized for all financial enterprises in which the template customer is authorized.
When creating ship to codes for new customers, the default ship to code will be taken from the template customer and created with the same address as that entered here for the new customer.
If the template customer is placed on hold in program CMCM, Customer Credit Maintenance, all customers created from that template customer will also be placed on hold.
2 To create a prospect, leave the Template Customer field blank.
3. For the moment, you can leave the Catalog ID field blank. The catalog ID defaults to the catalog with the Primary Catalog for Location flag to on in program SPCG, Catalog ID Maintenance for the selected location.
4. In the Customer/Prospect field, enter the customer or prospect number to be created.
Multiple mail to ID's can exist for the same customer/prospect.
5. In the Mail To ID field, enter the mail to ID. If no mail to ID is entered, one will be generated when you commit.
The mail to ID is used to link the mailing address to the customer/prospect records.
6. In the Mail To Name fields, enter the mail to name for this mail to address. When entering a new customer record, the values entered here will be copied to the customer record in program CMMM, Customer Master Maintenance, but updates will not update the customer record.
7. In the Mail To Address fields, enter the mail to street address.
8. In the Mail To City field, enter the mail to city.
9. In the Mail To State field, enter the mail to state.
10. In the Mail to Zip field, enter the mail to zip code.
11. In the Mail to Country field, enter the mail to country.
12. Set the Catalog Ok flag to on if catalogs will be mailed to this customer/prospect at this mail to address.
This flag must be set to on for labels to be printed for the mailing address in program MTMM, Mail To/Prospect Input for Catalogs, or for the mailing address to be included in selections in program CMSU, Mail Label Selector.

If you set the flag to on at the top-level customer/prospect, all mailing addresses in program MTMM, Mail To/Prospect Input for Catalogs, will have the flag set to on, and all contacts for the customer/prospect will have the flag set to on.
If you set the flag to on at the mailing address level, all contacts assigned to the mailing address will have the flag set to on.

15. For Prospects, in the Source Code field, enter the prospect source code.

16. In the Bus Phone field, enter the business telephone number for this customer/prospect mail to address.
This information is used as the default for contacts entered for the mail to address.
17. In the Fax Phone field, enter the fax telephone number for this customer/prospect mail to address.
This information is used as the default for contacts entered for the mail to address.
18. Press [Commit]. When you commit, the prospect or customer record will be created. The mail to address information entered in this program will be used to populate the address information for the customer or prospect.
1. Enter or query the desired mail to address, and go to the middle block.
2. In the Contact Name field, enter the contact name for this mailing address and customer/prospect.
3. In the E-mail field, enter the email address for this contact.
4. In the User 1 through 4 fields, you can enter user-defined codes for the contact. The list of values will display all previously entered user-defined codes in the same user field.
User 1 through 4 field labels are entered in program SPUF, Contact Field User Title Maintenance.
Codes are defined in program SPUC, Contact User Codes Maintenance. If a code is entered that does not exist in program SPUC, Contact User Codes Maintenance, it will be entered automatically.
The lists of values on the user fields in this program are optional. Lists of values will only be displayed if the parameter in program MURM, Initialization Parameter Maintenance, for that user field is set to YES. The parameters that determine this feature are MTMM_USER1_LOV, MTMM_USER2_LOV, MTMM_USER3_LOV, and MTMM_USER4_LOV.
5. Set the Send Mass Mail flag to on if mass mailings include this customer/prospect contact.
The setting of the Mass Mail flag defaults from the setting for the mail to address.
6. Set the Catalog Ok flag to on if catalogs will be mailed to this contact at this mail to address.
The setting of the Catalog Ok flag defaults from the setting for the mail to address.
This flag must be set to on for labels to be printed for the contact in program MTMM, Mail To/Prospect Input for Catalogs, or for the contact to be included in selections in program CMSU, Mail Label Selector.
The Catalog Ok flag setting cascades from the top-level customer/prospect to the mail addresses to the contacts depending on the settings of the cascade parameters in program MURM, Initialization Parameter Maintenance. For example, if all parameters are set to YES:
If you set the flag to on at the top-level customer/prospect, all mailing addresses in program MTMM, Mail To/Prospect Input for Catalogs, for the customer/prospect will have the flag set to on, and all contacts for the customer/prospect will have the flag set to on.
If you set the flag to on at the mailing address level, all contacts assigned to the mailing address will have the flag set to on.
You can override at the lower levels, but if the upper level is changed, all lower level records will be updated. So, if you have a customer/prospect with the flag set to on, and one mail to address with the flag set to on, and one mail to address with the flag set to off, if you set the customer/prospect flag to off, all mail to addresses for the customer/prospect and all contacts for the customer/prospect will have the flags updated to off.
7. Set the Selected flag to on if this contact is selected for daily mailing with program CMSU, Mail Label Selector.
The setting of the Selected flag defaults to from the setting for the mail to address.
8. For Prospects, in the Prospect Type field, enter the prospect type for this contact.
Prospect types are user-defined and set up in program PRTM, Prospect Type Maintenance.
9. For Prospects, in the Prospect Source field, enter the prospect source code.
Prospect sources are user-defined and set up in program PRSM, Prospect Source Maintenance.
10. The Date Last Catalog Sent field displays the most recent date on which this customer/prospect contact was included in a mass mailing.
This field is updated when CSV files are created for the contact in program CMSU, Mail Label Selector, and when labels are printed for the contact with program MTLL, Contact Mailing Label.
11. The Catalog ID field displays the catalog ID last mailed to the contact. It can be updated manually.
This field is updated when CSV files are created for the customer/prospect contact in program CMSU, Mail Label Selector, and when labels are printed for the customer/prospect contact with program MTLL, Contact Mailing Label.
Catalog IDs are entered in program SPCG, Catalog ID Maintenance.

When a new contact is created, the catalog ID entered in the header will be assigned to the contact by default if the Catalog Ok flag is set to on for the contact. If the AUTO_CREATE_CONTACT_CAT_LLL parameter (where LLL is the sales location code) in program MURM, Initialization Parameter Maintenance, is set to Y, the catalog will be assigned regardless of the setting of the Catalog Ok flag.
12. The Last Catalog Requested field displays the most recent date on which the customer/prospect contact requested a catalog sent. It can be updated manually.
13. Go to the Phone Number block to enter the telephone numbers for the customer/prospect contact.
14. Two telephone types are standard with NDS Applications. These are Business and Fax. All contacts will have these two telephone type records, and they cannot be deleted. However, the fields can be left blank if they do not apply.
Other telephone types can be entered by the user in program SPFT, Maintain Phone Types, and defined by contact in this program.
15. In the Phone Number fields for the Business and Fax telephone types, enter the business and fax telephone numbers for the contact, if appropriate.
Only one Business and one Fax telephone type record can be entered per contact.
These telephone numbers default from the Bus Phone and Fax Phone in the upper block, but can be overridden.
16. To enter another telephone type record, select the Phone Type pop-list to the desired setting. This pop-list contains all telephone types entered in program SPFT, Maintain Phone Types.
Multiple records can be entered for telephone type records other than Business and Fax.
17. In the Phone Number field, enter the telephone number for the selected phone type.
18. When all telephone numbers have been entered, press [Commit]. If no contacts exist for the customer/prospect, the new contact will be created with the Primary flag set to on. If contacts exist for the customer/prospect, the new contact will be created with the Primary flag set to off.
1. Before printing labels, make sure that the correct printer name is displayed in the Printer field on the main menu.
2. In the Catalog ID field, enter the catalog ID for which you are printing mailing labels.
3. Query the customer/prospect and contact for which you are printing labels.
4. In the Mail Class pop-list, select the mail class for which you are printing the label. Choices are defined in program MCMM, Mail Class Maintenance.
5. Press the [Print Label] button.
6. The label will print with program MTLL, Contact Mailing Label, the Date Last Catalog Sent field will be updated with the system date, and the Catalog ID entered in the header will be entered in the contact's Catalog ID field.
Press the [Search] button to access this screen. You must enter a zip code range, a customer name, or an address line to perform a search. Press the [Clear] button to clear any earlier searches entered in this program.
1. In the Zip From field, enter the first zip code in the range of zip codes for which you are searching for addresses.
2. In the Zip To field, enter the last zip code in the range of zip code for which you are searching for addresses.
Leave these fields blank to search all zip codes.
Leave the Customer Name and Contact Name fields blank to search for all addresses within a zip code range. You must enter a range for this to work.
You can only enter 5 digits in the zip code fields. The search will include all zip codes that begin with the entered five zip codes. For example, if you entered the range 33762 through 33763, the program would look for anything beginning with 33762 or 33763, such as 33762, 33762-0000, and 33763-9999.
3. In the Customer Name field, enter the customer name for which you are searching for addresses.
The customer name search is not case sensitive. You can use the % wildcard.
For example, if you were searching for a name that had the word company in it, you could enter %company% and all customers with company, COMPANY, or Company in the name would be returned.
4. In the Address 1 field, enter the first address line for which you are searching for addresses.
The address line search is not case sensitive. You can use the % wildcard.
For example, if you were searching for an address that had the street name smith in it, you could enter %smith% and all addresses with Smith, smith, or SMITH in the first address line would be returned.
5. In the Country Cd field, enter the country code for which you are searching for addresses.
6. Set the Bill To flag to on to search the customer master addresses on the Address Tab in program CMMM, Customer Master Maintenance.
The default setting for this flag is determined by the second character of the four character Y/N series assigned to the SEARCH_CB_MAIL_BILL_SHIP_ALL parameter in program MURM, Initialization Parameter Maintenance.
7. Set the Mail To flag to on to search the mailing addresses in program MTMM, Mail To/Prospect Input for Catalogs.
The default setting for this flag is determined by the first character of the four character Y/N series assigned to the SEARCH_CB_MAIL_BILL_SHIP_ALL parameter in program MURM, Initialization Parameter Maintenance.
8. Set the Ship To flag to on to search the ship to addresses on the Shipping Tab in program CMMM, Customer Master Maintenance.
The default setting for this flag is determined by the third character of the four character Y/N series assigned to the SEARCH_CB_MAIL_BILL_SHIP_ALL parameter in program MURM, Initialization Parameter Maintenance.
9. Set the All flag to on to search all three addresses.
The default setting for this flag is determined by the first character of the four character Y/N series assigned to the SEARCH_CB_MAIL_BILL_SHIP_ALL parameter in program MURM, Initialization Parameter Maintenance.
10. Press the [Search] button to find the addresses that match the entered criteria.
11. The addresses that match the entered criteria will be displayed in the middle block.
12. The Mail flag can be updated for addresses. Nothing else can be changed on this screen.
Set the Mail flag to on if catalogs will be mailed to this address.
13. When you have located the desired address record, put the cursor on record, and the contacts assigned to it will be displayed in the lower block.
14. To query the mail to address by the customer/prospect number, with the cursor on the desired customer record in the middle block, press the [Select] button. The program will return to the mail page and query the default mail to address assigned to the customer and all of the contacts assigned to that mail to.
15. To query the mail to address by the customer and contact, put the cursor on the contact in the lower block and press the [Select] button. The selected customer/prospect mail to address and all of the contacts assigned to that mail to will be queried when you return to the main page.
If the selected contact is not assigned to a mail to address, a message will be displayed, and you will not be returned to the main page.
16. Press the [Return] button at any time to return to the main screen without selecting anything.
Press this button to display the catalogs assigned to this contact, and to allow the user to maintain the catalogs for the user.
Press this button to print a label for the selected customer/prospect contact using program MTLL, Contact Mailing Label.
Press this button to display the customer address search screen. For more information on searching for customer addresses with this screen, see the Searching for Customer / Prospect Contacts section.
Press this button to return to the main page and query the customer/prospect and contact.
