Program SMMM, Sales Representative Master Maintenance, is used to establish and maintain sales representative master records.
A sales representative number is entered into each customer master record in program CMMM, Customer Master Maintenance, as the default to be used in sales order entry. When a sales order is created for that customer, the sales representative number (along with other data from the sales representative and customer master records) is transferred to the sales order entry program. Most of this information can be changed during sales order entry.
Sales representatives can also be assigned to customer ship to code. The ship to code sales representative overrides the customer's account representative during sales order entry.
Sales order entry programs include program OEOE, Sales Order Entry Maintenance, program OQEM, Sales Order Quotation Entry/Maintenance, program OEXP, Fast Order Entry, and program ARIE, One Step Invoice Entry.
Commission Calculations for Sales Orders
Entering Sales Representatives
1. In the Sales ID field, enter a sales representative ID.
2. In the Name field, enter the sales representative's name
3. In the Address field, enter the sales representative's address.
4. In the City, State, and Zip fields, enter the city, state, and zip code for the sales representative.
If you leave the city and state blank, you can use the list of values on the zip code field to select the zip code from program SPZM, Zip Code Maintenance, and the city and state will be entered automatically.
If you enter the city and state manually, and then use the list of values to select the zip code, your entries will take precedence over those in the zip code record selected.
5. In the Telephone, Fax, and e-mail fields, enter the telephone number, fax number, and email address for the sales representative.
6. The Status field should be set to Active. If a sales representative is assigned a status of inactive, the sales representative cannot be used in the system.
When a sales representative is Inactive, it cannot be assigned to customers or to sales orders. When an inactive sales representative is entered on a sales order through the customer record, a warning is displayed.
It is advised that before you make a sales representative inactive, you un-assign the representative from all customer records.
Inactive sales representatives can have invoices or credit notes written to them for previously earned commissions through program SMQM, Sales Representative Quota Maintenance.
7. In the Commiss Scheme field, set the commission scheme. Sales representatives are paid commission by volume or by product.
Sales representatives whose commission scheme is volume are assigned to a sales order in the sales order header and are paid according to the sum of the order lines. Volume sales representatives should not be assigned to a contract.
Sales representatives whose commission scheme is product are assigned to line items and are paid according to the line item total. Product sales representatives can be assigned to contract line items in program CMCP, Customer Contract Maintenance, and product matrices in program SMCM, Commission Matrix Maintenance.

8. In the Voucher Method field, set the voucher method. This determines whether accounts payable vouchers and credit notes for the sales representative will be summary or detail.
9. In the Region and Territory fields, enter the region and territory.
10. In the Sample a/c field, enter the customer number for this sales representative. This is the customer number to which credit notes will be created for the sales representative's commissions from program SMQM, Sales Representative Quota Maintenance.
11. In the Employee No field, enter the sales representative's employee number from program LREE, Employee Maintenance.
12. In the Vendor a/c field, enter the vendor number for the sales representative. This is the vendor to whom the voucher for the sales representative's commissions will be written.
13. In the Work Start field, enter the time that the sales representative begins working.
The time should be entered using a 24 hour clock. For example, 9:00 in the morning would be 09:00, and 7:00 in the evening would be 19:00.
The time entered here is used to determine the starting time for the sales representative in program PRSC, Sales Representative's Contact Sheet.
14. In the Work Finish field, enter the time that the sales representative stops working.
The time should be entered using a 24 hour clock. For example, 9:00 in the morning would be 09:00, and 7:00 in the evening would be 19:00.
The time entered here is used to determine the ending time for the sales representative in program PRSC, Sales Representative's Contact Sheet.
15. In Call Interval field, enter the standard time between calls made by this sales representative to prospects.
The interval entered here determines the default setting of the time pop-list in program PRSC, Sales Representative's Contact Sheet, and should be in 5 minute increments.
16. In the Function field, enter the function code from program SMFM, Sales Rep Functions Maintenance, for this sales representative, if desired.
17. Enter commission codes for the sales representative for volume sales representatives. See Entering Commission Codes.
18. Press [Commit].
1. Press the [Commission Levels] button to set up commission codes for volume sales representatives.
2. In the Revenue Level field, enter the revenue level for which you are entering the commission code. The amount that you enter in this field is the lowest amount for which this commission code will be used to calculate the sales representative's commission.
If you enter a zero in the revenue field, the sales representative will be assigned the commission code for any sales made with the revenue of zero dollars or more.
You can have different levels of commissions for a sales representative by entering different amounts in the revenue level field.
3. In the Commission Code field, enter the commission code for the revenue level.
If the sales representative's commission scheme is volume, the commission code you enter in this program is the commission code used for the sales representative, no matter what commission code is entered in a sales order entry program.
If the sales representative's commission scheme is product, the commission code entered on the sales order line is the commission code used for the sales representative, no matter what commission code is entered here.
Sales order entry programs include program ARIE, One Step Invoice Entry, program OEOE, Sales Order Entry Maintenance, program OQEM, Sales Order Quotation Entry/Maintenance, or program OEXP, Fast Order Entry.
4. Press [Commit].
