Program VEQM, Vendor Quote Maintenance, is used to add, delete, and maintain vendor price quotes. You can also cross-reference the system item number and the vendor's item number for inventory items. These quotes are used for automatic pricing on requisitions and purchase orders.

Comments for vendors can be entered in this program with the comment types POR - purchase orders and receiving, RE - receiving, and PO - purchase orders only. When the vendor is used on a purchase order or a receiver, the comments will be displayed, depending upon the comment type.

Vendor Quote/Purchase Order Comments

Comments are accessed with the [Comments] images\ebx_1202995823.gif button.

Vendor comments differ somewhat from the standard comment functionality in NDS. When vendor comments are entered in this program, you can define a target comment type to be used when the comment is copied to the purchase order programs.

*     In order for comments to be copied to the purchase order programs, PO, POR, or RE must be entered in the Type field for the comments in this program.

*     Any desired comment type can be entered in the Target Type field, and when the comment is copied to the purchase order or receiver, the target type will be copied to the Type field in the purchasing program.

*     This is a user-defined function that can be used in ad-hoc and custom reporting.

Comments with comment type POR or PO can be set up for vendor quote items so that they are always displayed when a purchase order line is entered for the vendor quote item in program POEM, P.O. Entry/Maintenance. On the comments page, there is a flag with three settings: Silent (Normal), Show Indicator, and User must read.

*     If the pop-list is set to Silent (Normal), the comment is written to the purchase order line as normal, but there is no indication to the user.

*     If the pop-list is set to Show Indicator, the comment is written to the purchase order line, and an indicator flag images\ebx_-453272589.gif is displayed to the right of the [Comments] button to indicate that comments exist for the purchase order line item.

*     If the pop-list is set to User must read, the comment is written to the purchase order line, the indicator images\ebx_-453272589.gif is displayed, and when the purchase order line is committed, the program will display the comment page.

For vendor quote comments that are copied to the purchase order, if the item record has a purchase order comment, the system will consider both sets of comments. If the item has a User must read purchase order comment, and the vendor quote has an Indicator purchase order comment, the comments will be displayed. The same is true if the vendor quote has a User must read comment, and the item has an Indicator comment.

Purchase Price Rounding

The Purchase Price Rounding feature allows the purchase order price to be rounded to a certain value to determine the unit price during purchase order entry. The purchase price is first selected according to quantity ordered and effectivity dates, and then the selected price is rounded using the entered Rounding Direction and Round to Nearest value.

Rounding Direction

There are three rounding directions available in this program.

Standard: The standard rounding direction uses the standard rounding logic. If the Round to Nearest value has two digits, and the third digit in the list price is less than 5, the price will be rounded down. If the third digit is 5 or greater, the price will be rounded up.

Up: Prices are rounded up. Anything other than an even divisor of the Round to Nearest value will be rounded up to the next even divisor of the value

Down: Prices are rounded down. Anything other than an even divisor of the Round to Nearest value will be rounded down to the next even divisor of the value.

Round to Nearest

The value entered in this field and the Rounding Direction applied to the selected price determines the purchase unit price. Prices are rounded up or down to even divisors of the value entered here.

Entering Vendor Quotes

1. In the Item Number field, enter the item number for which you are entering a vendor quote.

*     Only one vendor quote can exist for each item/vendor/purchase unit of measure combination.

2. In the Description field, the item description defaults from the record in program ICMM, Inventory Master Maintenance, but it can be changed.

*     The description will be updated automatically when the item description is changed in program ICMM, Inventory Master Maintenance, if the VEQM_ITEM_DESC_SYNC parameter in program MURM, Initialization Parameter Maintenance, is set to Y. Otherwise, changes to the item description in program ICMM, Inventory Master Maintenance, will not affect the description here.

3. In the Vendor Number field, enter the vendor number.

4. In the Vendor Item field, enter the vendor's item number for the item.

5. In the Contract No field, enter the contract number, if desired.

6. In the Base Price field, enter the base price that the vendor will charge you for the item.

*     Entering the base price creates a price detail record for the minimum quantity. If no minimum quantity has been entered, a price detail record is created for a quantity of one.

*     If you update the base price after the detail records have been created, the price will be automatically updated for the minimum quantity price detail record.

7. In the Purchase U/M field, enter the purchasing unit of measure for the item.

*     Multiple vendor quotations can be entered for an item with different purchasing units of measure.

8. In the Conv field, enter the unit of measure conversion.

*     This is the conversion factor by which the purchase order units will be multiplied to equal the stock units. For example, if the stock unit of measure is inches, and the purchase unit of measure is feet, the conversion factor would be 12. If the stock unit of measure is feet and the purchase unit of measure is inches, the conversion factor would be .083333.

*     If the purchase unit of measure was entered as an alternate unit of measure for the item in program ICMM, Inventory Master Maintenance, the conversion factor entered in program ICMM, Inventory Master Maintenance, will be entered automatically and cannot be changed. It must be maintained in program ICMM, Inventory Master Maintenance.

*     If the purchase unit of measure was not entered as an alternate unit of measure for the item in program ICMM, Inventory Master Maintenance, it will be entered automatically in program ICMM, Inventory Master Maintenance, when you commit the record.

9. The Currency field defaults to the vendor's currency code from program VEMM, Vendor Master Maintenance, and cannot be changed.

10. Set the QA Approved flag to on. This flag must be set to on for the quote to be activated.

11. Enter the Approved By information. There must be an entry in this field for the quote to be activated.

12. If the vendor will charge tax for the item, set the Taxable flag to on.

13. In the Quote Expire Dt field, enter the quote expiration date, if desired. If the expiration date has passed (purchase order date is later than the expiration date), the vendor quote price will not be used.

14. In the Recertification Date field, enter the date on which the quote will be recertified. This field is for reference only.

15. In the Minimum Order Quantity field, enter the minimum quantity that must be ordered for the quote. The base price becomes the purchase unit price for this quantity.

16. In the Maximum Order Quantity field, enter the maximum order quantity for the quote.

17. In the Multiple Order Quantity field, enter the lot size purchase quantity, for reference only.

18. In the Estimated Lead Time field, enter the anticipated number of days that it will take to receive the item from the vendor after the purchase order is issued. When the purchase order is entered, the system will calculate the due date as the system date plus the lead time.

19. Set the Rounding Direction pop-list to the desired setting. This determines how the quote price will be rounded during purchase order entry, according to the Round to Nearest field.

*     Standard: Prices are rounded according to standard rounding rules.

*     Up: Prices are rounded up according to the Round to Nearest field.

*     Down: Prices are rounded down according to the Round to Nearest field.

20. In the Round to Nearest field, enter the value to which the unit price will be rounded. Prices will be rounded according to the Rounding Direction and the value entered here.

*     For example, suppose that the list price was $.74999 and the value entered in this field was .75.

*     If the Rounding Direction was Standard, the list price would be rounded to the unit price of $.75.

*     If the Rounding Direction was Up, the list price would be rounded to the unit price of $.75.

*     If the Rounding Direction was Down, the list price would be rounded to the unit price of $.00.

*     For example, suppose the list price was $.75001, and the value entered in this field was .75.

*     If the Rounding Direction was Standard, the list price would be rounded to the unit price of $.75.

*     If the Rounding Direction was Up, the list price would be rounded to the unit price of $1.50.

*     If the Rounding Direction was Down, the list price would be rounded to the unit price of $.75.

21. Press [Commit]. Go to the Quantity Break Tab

Quantity Break Tab

1. In the Minimum Quantity field, enter the lowest quantity to which the price that you are entering will apply. Multiple records can exist for the same minimum quantity, as long as they have different effective dates.

2. In the Purchase Unit Price field, enter the purchase unit price that will be applied to purchase order lines for this quantity. If you will be entering discounts, enter a 0 in this field.

*     If you update the price for the minimum quantity break, the program will ask if you want to update the base price for the vendor quote.

3. In the Discount % field, enter the discount that will be applied to the unit price for this quantity.

4. In the Effective From field, enter the first date on which this price is effective. The entered price or discount will not apply to purchase orders entered with the purchase order date before the date entered here.

5. In the Effective Thru field, enter the last date on which this price is effective. The entered price or discount will not apply to purchase order entered with the purchase order date after the date entered here.

6. Press [Commit]. Repeat steps 1 through 6 until all quantity break prices have been entered. Multiple records can exist for the same minimum quantity, as long as they have different effective dates.

3 Way Match Details Tab

This tab is used to enable variance checking and set variance tolerance percentages for the vendor and item. The variance checking parameters set in this program will override any similar parameters established for the vendor in program VEMM, Vendor Master Maintenance.

*     There are four types of variances, Receiver Quantity Variance, Invoice Quantity Variance, Invoice Line Dollar Variance, and Invoice Total Dollar Variance.

*     The receiver quantity variance compares the receiver line quantities with the purchase order line quantities. The tolerable receiver quantity percentage is the highest percentage by which the receiver line quantity can vary from the purchase order line quantity.

*     The invoice quantity variance compares the invoice line quantities with the purchase order quantities. The tolerable invoice quantity variance percentage is the highest percentage by which the invoice line quantity can vary from the purchase order line quantity.

*     The invoice line dollar variance compares the invoice line dollar amounts with purchase order unit costs. The invoice line dollar variance percentage is the highest percentage by which the invoice unit price can vary from the purchase order unit cost.

*     The invoice total dollar variance compares the invoice total dollar amount with the purchase order total dollar amount. The tolerable invoice total dollar variance percentage is the highest percentage by which the invoice total dollar amount can vary from the purchase order total dollar amount.

*     When an invoice variance flag is set to on, it indicates that variance is used in purchases from the vendor. If the variance percentage exceeds the entered tolerable variance percentage, then the voucher is put on hold in program APVM, Voucher Entry/Maintenance. When the receiver variance flag is set to on, you will not be able to enter a receiver line in program REEM, Receiver Entry/Maintenance, if the variance percentage exceeds the entered tolerable percentage.

*     Settings for the vendor tolerances in program VEMM, Vendor Master Maintenance, override the default settings in program SPMM, System Parameters/Default Maintenance. Settings for the vendor tolerances in program VEQM, Vendor Quote Maintenance, override the settings in program VEMM, Vendor Master Maintenance.
