PMMM - Project Master Maintenance

Program PMMM, Project Tracking Maintenance, is used to enter and maintain project structures. Comments entered as type OE in the header or project line will be written to the invoice when the project is billed with program PMBM, Project Billing.

Projects consist of project line codes, which are created in this program by assigning project classes to the project line code.

*     The information in the project class record is used to calculate the costs and billing information for the project line code when transactions are entered for the project.

*     Project line codes are displayed in order according to the PMMM Display Order pop-list in program PMPM, Project Parameter Maintenance.

For each project line code, the following information can be entered in this program:

*     Project class record assigned to the project line code.

*     Budget information for the project line code.

*     Indication that the project line code has been completed.

*     Engineering specifications and parameters

*     Project events

For each project line code, the following information can be viewed:

*     Actual costs

*     Progress of the project according to the resource, labor, and expense information.

*     Resources assigned and used for this project line code, from the information entered in program PMRE, Project Resource Entry.

*     Labor costs for this project line code, from the information entered in program PMLE, Project Labor Entry.

*     Expense cost for the project line code, if the Project Line Type is Expense, from the information entered in program PMXE, Project Expense Entry.

*     Purchasing and Material Issues for the project line type.

*     Calendar containing budgeted and actual revenue and cost for each period.

*     Customer billing for the project line.

*     Manufacturing orders for the project line.

*     Recurring billing transactions for Recurring Billing project line types.

If you are entering or viewing projects in a fulfillment customer database, you can only view and maintain projects for customers entered in the fulfillment database or for the fulfillment customer.

Project records can only be queried by the fields in the header.

Entering Project Structures

1. Enter the project number.

2. Enter the project description.

3. Enter the customer for the project. The customer must have an existing record for the financial enterprise that you are logged into.

4. Enter the customer purchase order number, if desired.

5. Enter the customer contact. The default is from the customer record.

6. Enter the employee number for the manager of the project, if desired.

7. Enter the employee number for the leader of the project, if desired

8. Enter the sales location. The default is from the customer record.

9. Enter the ship to code for the customer. The customer's default ship to code is entered automatically from the customer record.

10. Enter the sales representative for the customer and project. The customer's account representative from the customer master is entered automatically.

11. Enter the project urgency, if desired. This is a user-defined field.

12. Select the billing type. This determines how the customer will be billed for the project. Projects whose billing type is either Time & Material or Progress Billed can have project lines billed based on the unbilled transaction details before the project line is completed.

*     The billing type pop-list default setting is set in program PMPM, Project Parameter Maintenance.

*     Time and Material: Customer will be billed as information is recorded for the project.

*     Progress: Customer will be billed as information is recorded for the project.

*     Completion: Customer will not be billed until project is completed. You cannot bill at the detail level if this billing type is selected.

*     Shipment: Customer will be billed when the project is recorded shipped.

*     Not Billed: Customer will not be billed for the project, it is simply collecting cost. Sub Tier projects that are being linked to a master project line with a Billing Source of Job Price should set this flag to Not Billed.

13. Select the cost basis. The cost basis determines which cost set is used to calculate the budget, profit, and progress in this program. No matter what the setting, actual cost is used for expense project lines.

*     The cost basis pop-list default setting is set in program PMPM, Project Parameter Maintenance.

*     Actual Cost: the actual cost for labor will be used and the secondary manufacturing cost will be used for materials and purchases.

*     Standard Cost: the standard cost for labor will be used and the S type cost for materials and purchases will be used.

14. Select the status for the project.

*     Quoted: The project has been quoted to the customer. Nothing can be reported against the project at this time. Sub projects with this status can be linked to master projects. Master projects with this status can have sub projects linked to them.

*     Lost. The project was quoted but not accepted. Nothing can be reported against a lost project.

*     Authorized: The project has been authorized and can be begun. Sub projects with this status can be linked to master projects. Master projects with this status can have sub projects linked to them.

*     Complete: The project is completed. Sub projects with this status can be linked to master projects.

*     Closed: The project has been closed. Nothing can be reported against a closed project.

*     Cancelled: The project has been cancelled. Nothing can be reported against a cancelled project.

*     Template: The project is a template for other projects. Nothing can be reported against a template project.

15. Enter the project price, if desired. This is used to record progress billings against the project.

16. The Unbilled field displays all amounts for this project that have not yet been billed to the customer with program PMBM, Project Billing.

*     If a project price is entered in the header, this is the project price minus the amount billed for the entire project.

*     If a project price is not entered in the header, this is the amount earned for the entire project minus the amount billed for the entire project.

17. Enter the Project ID. The same project ID can be assigned to multiple projects as a way to group projects together. The project ID can be used in general ledger postings.

18. Enter the project due date.

*     If the Default Project Line Dates flag is set to on in program PMPM, Project Parameter Maintenance, the project line due dates will default as the date entered here.

*     If the Default Project Line Dates flag is set to off in program PMPM, Project Parameter Maintenance, the project line due dates will not default to the date entered here.

19. Press [Commit]. Go to the lower left block.

20. In the Line Code field, enter the project line code. This is a user-defined code.

*     You can use the list of values in this field to select items and standard operations as line codes. If project classes and group codes have been assigned to the select item or standard operation, they will be pulled in for the line code.

*     If your item number and standard operation are the same (for example, if you had and item 10 and an operation 10), the item will be pulled in.

*     If you have a line code for an item or operation, and you wish to enter another line code for that item or operation, select it from the list of values. You can then make a modification to the line code (such as adding a -1) and the class and group information will still be entered automatically from the item or operation record.

21. There are tabs to the right of Line Code fields. For each project line code that you enter, these tabs either allow you to enter information for the line or allow you to view information for the line that has been entered in other programs.

*     To select a tab, click on it with your left mouse button.

*     After you have entered the line code, the program will automatically take you to the Main tab to enter the project class information.

22. To view a summary of the information entered for the project, press the [Summary] button. The information is displayed according to the group codes entered for the project line codes.

23. You can set the order in which project lines will be displayed. The default display order is from program PMPM, Project Parameter Maintenance. Choices are:

*     Job Line Code: Project lines are displayed in order according to project line code.

*     Description: Project lines are displayed in order according to the project line description.

*     Due Date: Project lines are displayed in order according to the project line due date. Earlier due dates are displayed first.

*     Group Code: Project lines are displayed in order according to group code.

*     Job Class: Project lines are displayed in order according to project class.

*     Job Line Type: Project lines are displayed in order according to project line type.

*     Seq No: Project lines are displayed according to the sequence number on the Options tab.

24. Set the Show Closed flag to the desired setting. When this flag is set to on, the closed project lines are displayed in the lower block. When this flag is set to off, closed project lines are not displayed in the lower block.

*     The default setting of this flag is determined by the Show Closed Project Lines in PMMM flag in program PMPM, Project Parameter Maintenance.

Main

This tab allows you to enter the project class information for each project line code. Each project line code can only be assigned one project class.

1. Enter the project class that you wish to assign to this project line code.

*     Project classes are entered in program PMCM, Project Class Maintenance, and determine the billing and costing information for the project line code.

2. The project class description will be entered automatically in the Description field for the project line code.

3. The rest of the project class information from program PMCM, Project Class Maintenance, will be entered in the fields of the Main tab.

*     You can change most of the information that is entered from the class code, including the billing and costing rate codes.

4. You can assign project line codes to line groups. To do this, enter the line group in the Line Group field.

*     Line Groups are user defined when an entry is made in the Line Group field for the project line code.

5. The status of the project line code is displayed in the Status pop-list. The default is Open, but it can be changed.

*     Open

*     Don't Charge: do not charge the customer for the project line code.

*     Don't Bill: do not bill the customer for the project line code.

*     Closed - no more transactions can be entered for this project line code. For labor, material, and expense project lines, transactions can be entered for dates up to and including the date on which the project line was closed.

*     Quoted - the project line has been quoted to the customer.

*     Forecast - this is a forecasting line for employee scheduling.

6. You can change the Billing Source for some project line types. The billing source that can be used depends upon the billing rate code assigned to the project line by the project class. It determines how customer billings will be calculated for the project line code. Billing Source defaults from the class code record in program PMCM, Project Class Maintenance.

*     Job Rate - Labor/Resource rate codes - customer billings will be calculated using the billing rate code.

*     Actual Cost - Cost Margin rate codes - customer billings will be calculated using the actual cost.

*     Std Cost - Cost Margin rate codes - customer billings will be calculated using the standard cost.

*     Item Price - Material project lines - customer billings will be calculated using the item price from program ICSM, Inventory Sales Data Maintenance.

*     Job Price - Portion of Total rate codes - customer billings will be calculated using the project price.

*     Revenue Budget - All rate codes, default for Fixed rate codes - customer billings will be calculated using the revenue budget on the Budget tab for this project line.

*     Sub-Project - Sub Tier Project lines - customer billings will be calculated from the sub-project assigned to this project line.

*     WIP Units: Manufactured Item project lines with Per Unit rate codes - customer billings will be calculated per each manufactured end item. (The distinction between WIP Components and WIP Units is only determined on custom code in the user's procuser. The standard logic is the same.)

*     WIP Components: Manufactured Item project lines with Per Unit rate codes - customer billings will be calculated per each manufacturing end item. (The distinction between WIP Components and WIP Units is only determined on custom code in the user's procuser. The standard logic is the same.)

7. Enter the project line due date. If the Default Project Line Dates flag in program PMPM, Project Parameter Maintenance, is set to on, the due date will default from the project due date.

8. The billing rate code will default from the project class record. You can change the billing rate code. The billing rate code is used to determine the rate at which the customer will be billed for the class code

9. The budget rate code will default from the project class record. You can change the budget rate code. The budget rate code is used to calculate the budget information for the project line code.

10. If the project line is entered for a sub project, enter the sub project number in the Sub Tier Project field.

*     You can use the Drill Down feature to drill down to program PMMM, Project Tracking Maintenance, to view and maintain the sub project.

11. Press [Commit].

Options

This tab is used to set the billing level, assign an employee, and generate purchase orders for the project line.

1. Set the Billing Level for the project line to indicate the level at which the project will be billed to the customer. There are four settings for this pop-list.

The billing level pop-list default setting is set in program PMPM, Project Parameter Maintenance.

*     Job: the invoice lines are created by project. This means that there will be one invoice line, the project number will be the item number, and the amount will be the total amount selected to be billed for the project.

*     Class Code: the invoice lines are created by class code. This means that there will be one invoice line for each class code, the class code will be the item number, and the amount will be the total amount selected to be billed for the class code. The unit of measure for the invoice line is the unit of measure assigned to the billing rate code in program PCRM, Labor/Machine Rate Code Maintenance. A comment will be written with the number of units reported and the billing rate code. For example, 8 hour(s) at $20 per hour.

*     Rate Code: the invoice lines are created by rate code. This means that there will be one invoice line for each rate code, the rate code will be the item number, and the amount will be the total amount selected to be billed for that rate code. The unit of measure for the invoice line is the unit of measure assigned to the billing rate code in program PCRM, Labor/Machine Rate Code Maintenance. A comment will be written with the number of units reported and the billing rate code. For example, 8 hour(s) at $20 per hour.

*     Detail: the invoice lines will be created by project line code. This means that there will be one invoice line for each project line code, the project line code will be the item number, and the amount will be the total amount selected to be billed for that rate code. The unit of measure for the invoice line is the unit of measure assigned to the billing rate code in program PCRM, Labor/Machine Rate Code Maintenance.

2. In the Seq No field, the sequence number is automatically assigned by the system. This number determines the order in which the project lines are displayed when the Line Display Order pop-list is set to Seq No.

3. In the Employee field, enter the employee assigned to the project line, if desired.

4. In the Item No field, enter the item number associated with this project line.

5. For billing purposes, the unit price can be overridden if the billing source for the line item is Item Price, WIP Units, or WIP Components. When a price is overridden, the unit price entered is used when billing, and the billing rate in program PMCM, Project Class Maintenance, for the class is no longer considered.

*     To override the unit price for the item for billing, set the Ovrd flag to on.

*     In the Unit Price field, enter the unit price that will be used when billing this project line.

*     When the changes are saved, the unit price entered here will be displayed on the Main Tab as the Billing Rate.

6. If the project line type is Purchased Item, you can create a purchase order for the purchased item.

*     In program POBM, Buyer Maintenance, you mush have a buyer code JOB in order to create purchase orders from projects.

*     On the Budget Tab, in the Budget Units field, enter the quantity purchased of the item.

*     On the Options Tab, in the Item No field, enter the purchase item.

*     In the Vendor No field, enter the vendor from which the item was purchased.

*     Press the [Create PO] button.

7. If other purchased items are required for this project line, you can add them to the purchase order in program POEM, P.O. Entry/Maintenance.

8. If the project line type is Manufactured Item, you can create a work order for the manufactured item.

*     On the Main Tab, enter the due date for the work order in the Due Date field for the project line.

*     On the Budget Tab, in the Sales Units field, enter the quantity ordered for the work order.

*     On the Options Tab, enter the manufactured item.

*     Press the [Create WO] button.

*     If the item is serial controlled, an alert box will be displayed asking whether to create a single work order for the quantity or a single order for each serial controlled item.

*     Pending orders will be created for the item in program WOEM, Work Order Entry/Maintenance.

*     For more information about the work orders created, see the Work Orders in Projects section.

*     Work Orders assigned to a project line code can be viewed on the Production Tab.

9. Set the Perpetual flag to the desired setting.

*     If this flag is set to on, all employee schedules will be displayed for the project line code in program PMEI, Employee Schedule Maintenance, and program PMDI, Department Schedule Maintenance.

*     If this flag is set to off, employee schedules before the current system date will not be displayed for this project line code in program PMEI, Employee Schedule Maintenance, and program PMDI, Department Schedule Maintenance.

Budget

This tab is used to enter budget information for the project line code. After resource and labor information has been recorded against a project line code, the actual information is updated here so that you can compare the two values.

1. In the Sales Units field, enter the number of billing rate units that are budgeted for this project line.

*     The entered sales units are used to calculate the budget revenue for the project line. The customer can only be invoiced up to the amount of the budgeted revenue (and overrun percentage) for the project line.

*     For example, if the project class for the project line code had a rate unit of Per Hour, you would enter the number of hours that are budgeted to be billed for the project line code.

*     If you create a work order on the Options Tab, the quantity entered here will be used as the work order quantity.

*     If you leave the sales units set to 0, or if no cost rate was entered for the project class assigned to this line, the project line code will be considered unconstrained, or budgetless, and the customer can be invoiced for the line without limit.

2. In the Budget Units field, enter the number of cost rate units budgeted for this project line code.

*     The budget units are used to determine the cost budget for the project line. The default is the Sales Units.

*     For example, if the project class for the project line code had a cost rate unit of Per Hour, you would enter the number of hours that are budgeted for the project line code.

*     If you create a purchase order on the Options Tab, the quantity entered here will be used as the purchase order line quantity.

3. Enter the budget's overrun percentage for this project line code. The budget overrun percentage is the amount that you expect the project line code to overrun its budgeted cost.

*     The customer can be billed for up to this percentage over the budgeted revenue for the project line code.

*     For example, if you expect that the project for this project line code may overrun its budgeted dollars by 10 percent, you would enter 10 in the Overrun % field.

*     The default overrun percentage for new project lines is entered in program PMPM, Project Parameter Maintenance.

4. Set the Earn? flag to the desired setting. This flag is only used for project lines that have the Billing Source set to Job Price, Revenue Budget, or Job Rate. It determines whether the customer will be billed according to the budget amount entered on this Budget Tab or according to the transactions entered for the project line code, if the transactions entered are lower than the budget revenue.

*     The flag must be set to on when the Billing Source is Job Price or Revenue Budget.

If the Billing Source is Job Price, the customer will be billed according to the entered transactions.

If the Billing Source is Revenue Budget, the customer will be billed according to the budgeted revenue calculated on the Budget Tab.

*     The flag can be maintained for project lines with the Billing Source set to Job Rate to determine how the customer will be billed. A budget revenue amount must be entered on the Budget Tab.

If the budget revenue amount is to be the amount billed to the customer, set the Earn? flag to on. The customer will be billed the budget amount, even if the transactions entered for the project line are less than the budgeted amount.

*     If the transaction amounts are to be used to determine the amount billed to the customer, set the Earn? flag to off. The customer will be billed according to the transactions entered for the project line when the transactions recorded are less than the budget revenue a

5. Enter the budgeted cost for this project line code. The budgeted cost is the cost that you expect to incur for the project line. You can enter the budgeted cost manually, or it can be calculated by the system.

*     If the cost basis flag in the project header is set to Standard Cost, the budgeted cost will be calculated automatically.

*     If you commit without manually entering a budgeted cost, the program will calculate it using the cost rate from the project class record and budgeted units for the project line code.

6. Press [Commit].

7. The rest of the information on this tab will be calculated using the information on the project class record for the line code.

8. When resource and labor information has been entered, the cost variance field will be recalculated, and the actual fields will be updated.

9. Pressing the [Summary] button will display some totals for the project, including Total Budget Remaining, Total Billing Remaining, and Total Actual Profit.

Progress

This tab is used to view the progress made for the project line code. This information is updated when transactions are entered for the project line code.

When project lines are flagged as Complete, the remaining unbilled revenue budget can be billed to the customer. If the billing source is the project line, then the appropriate quantity of hours will accompany the billing, based on the project line billing rate.

1. When the project line code is completed, enter the initials.

2. Set the Complete flag to on.

3. Enter the date on which the project was completed.

4. Press [Commit].

5. Project line codes with the project line type of Labor/Resource can be invoiced for the unbilled portion of the budgeted revenue when the project line is completed.

Recurring Billings

This tab is used to enter recurring billings for the project. Once the recurring billing transactions have been set up here, the customer can be billed from program PMBM, Project Billing.

1. After entering the Recurring Billing project line, click on the Recurring Billings tab.

2. Set the Frequency Unit pop-list to the desired recurring billing frequency. The frequency unit is used to determine the next billing date for the recurring billing. Choices are Month and Day.

3. Enter the number of units that will be billed to the customer per recurring billing transaction.

*     For example, suppose the billing class code uses the Potion of Total Cost Element, and the rate is .1 (this is 10% of the total value of the project).

If you enter a 1 in this field, each time a recurring billing is generated, it will be for 10% of the project value (.1 * 1 * project value).

If you enter a 2 in this field, each recurring billing will be for 20% of the project value (.1 * 2 * project value).

4. Enter the total number of recurring billing transactions that will occur.

5. Press [Commit].

6. The program will calculate the next billing date and the next due date according to the setting of the Frequency Unit pop-list and the project line due date.

7. The Billing Cycles to Date field displays how many times the customer has been billed with program PMBM, Project Billing, for this project line code.

Labor

This tab is used to view the labor that has been entered for the project line code. Labor is entered for a project line code in program PMLE, Project Labor Entry.

1. To view the labor for a project line code, click on the project line code for which you want to view labor. The project line code will change in color from black to blue.

2. Click on the Labor tab. If no line code is selected (blue), no labor information will be displayed on this tab.

Resource

This tab is used to view the resources that have been entered for the project line code. Resources are entered for a project line code in program PMRE, Project Resource Entry.

1. To view the resources for a project line code, click on the project line code for which you want to view resources. The project line code will change in color from black to blue.

2. Click on the Resource tab. If no line code is selected (blue), no resource information will be displayed on this tab.

Purchasing

This tab is used to view the purchasing information for the project line code. You can view the requisitions, purchase orders, receivers, and AP vouchers on this tab.

1. To view the purchasing information for a project line code, click on the project line code for which you want to view purchasing. The project line code will change in color from black to blue.

2. Click on the Purchasing tab. If no line code is selected (blue), no purchasing information will be displayed on this tab.

3. To view the open requisitions for the project line, on the Purchasing Tab, click on the Requisitions tab. The program will show you all existing requisitions assigned to this project line.

*     To assign a requisition to a project line, in program PORE, Requisition Entry/Maintenance, on the second page, enter the project number and project line code to which the requisition line is assigned.

*     Once a requisition is closed, it is no longer displayed. Requisitions are closed when they are included on a purchase order.

4. To view the purchase orders for the project line, on the Purchasing Tab, click on the Purchase Orders tab. The program will show you all existing purchase orders assigned to the project line.

*     To assign a purchase order to a project line, you can either create the purchase order from the Options tab, or in program POEM, P.O. Entry/Maintenance, on the purchase order line, enter the project number and project line code to which the purchase order line is assigned.

5. To view the receivers for the project line, on the Purchasing Tab, click on the Receivers tab. The program will show you all existing receivers assigned to the project line.

*     To assign a receiver to a project line, the project number and project line must have been assigned to the purchase order.

*     When the receiver is moved to stock in program REMD, Move to Destination, or program REOM, One Step Receiver Entry/Maintenance, the receiver will be displayed in this program.

6. To view the existing AP vouchers for the project line, on the Purchasing Tab, click on the A/P Vouchers tab. The program will show you all existing vouchers assigned to the project line.

*     To assign a voucher to a project line, the three way match must be set up and the project information must be entered under the project button, in program APVM, Voucher Entry/Maintenance.

Material

This tab is used to view the material that has been issued to the project line code. Material is issued for a project line code in program PMME, Project Material Entry.

1. To view the material issued for a project line code, click on the project line code for which you wish to view material issued. The project line code must have a Project Line Type of Common Material. The project line code will change from black to blue.

2. Click on the Material tab. If no line code is selected (blue) that has a Project Line Type of Common Material, no material information will be displayed on this tab.

Production

This tab is used to view the work orders created for this project line code. Work orders can be created from the Options Tab. For more information about work orders and projects, see the Work Orders in Projects section.

1. To view the work orders created for a project line code, click on the project line code for which you wish to view expenses. The project line code must have a Project Line Type of Manufactured Item. The project line code will change from black to blue.

2. Click on the Production tab. If no line code is selected (blue) that has a Project Line Type of Manufactured Item, no work order information will be displayed on this tab.

3. Work orders created for the project line code are displayed in the upper portion of this tab. If cascade work orders were created, they are listed in the lower portion of the tab.

Expenses

This tab is used to view the expenses incurred against the project on the line code. Expenses are entered for a line code in program PMXE, Project Expense Entry.

1. To view the expenses for a project line code, click on the project line code for which you want to view expenses. The project line code must have a Project Line Type of Expense. The project line code will change in color from black to blue.

2. Click on the Expenses tab. If no line code is selected (blue) that has a Project Line Type of Expense, no expenses information will be displayed on this tab.

Invoicing

This tab is used to view the customer invoices that have been created for this project line code. Customer invoices are created for projects using program PMBM, Project Billing, and are created in program ARIE, One Step Invoice Entry.

1. To view the customer invoices created for this project line code, click on the project line code for which you want to view the customer invoices. The project line code will change in color from black to blue.

2. Click on the Invoicing tab. All customer invoices that have been created for this project line code will be displayed.

Calendar

This tab is used to record the budget and revenue amounts by period received for a project line.

1. To view the calendar for a project line code, click on the desired project line code. The project line code will change in color from black to blue.

2. Click on the Calendar tab.

3. The revenue and cost budgets will be displayed from the Budget tab.

4. Press the [Create/Update Calendar] button to create the calendar.

5. The program will create the calendar with the entered actual costs and revenue in the Actuals section.

6. You can change the information for the Budget section to display the Budget distribution.

7. If the amounts that you distribute to the periods exceed the budget amounts entered on the Budget Tab, the program will not display a warning. However, the difference between the amount distributed here and the amount on the Budget Tab is displayed in the Difference field at the top of the Calendar Tab.

Events

This tab is used to assign and record activity against events for the project line code. Event types are entered in program PMEM, Event Type Maintenance.

1. To assign events to a project line code, select the project line code for which events should be completed. The project line code will change in color from black to blue.

2. Click on the Events tab. Any existing events that have been assigned to the project line code will be displayed.

3. In the Event Code field, enter the event assigned to this project line code. Event types are entered in program PMEM, Event Type Maintenance.

4. In the Due Date field, enter the date that this event is due to be completed.

5. If the event has been completed, set the Complete flag to on.

6. Enter the employee number.

7. Enter the initials.

8. Enter any comments.

9. Press [Commit]. The program will enter the date completed as the system date.

Spec/Params

This tab is used to assign, remove, and view engineering specifications for the project line. Engineering parameters and specifications are originally set up with the Engineering Specification (ESM) module.

1. To assign specifications to a project line code, select the project line to which you wish to assign the engineering specification. The project line code will change in color from black to blue.

2. Click on the [Specs/Params] tab.

3. Any variables for engineering specifications that have already been assigned to the project line code will be displayed.

4. To assign an engineering specification, press the [Templates] button.

5. If a template has been assigned, the information will be displayed here. You can scroll through the templates.

6. Press the [Template Selector] button to add an engineering specification.

7. The templates available in the system will be displayed. These have been entered using the Engineering Specification (ESM) Module.

*     Engineering specifications already assigned to the project line code will have the Included flag will be set to on.

8. To add an engineering specification to the project line code, change the Action pop-list to Add.

9. To remove an engineering specification from a project line code, change the Action pop-list to Delete.

10. Press [Commit]. Repeat until all desired engineering specifications have been assigned.

Network

This tab is used to maintain a list of project lines that must be closed before the selected project line can be closed. This sets up a tree structure of project lines that must be closed at certain levels before the current project line can be closed.

1. To set up a network for a project line code, select the desired project line. The project line code will change in color from black to blue.

2. In the Prev Proj No field, enter the project number on which a project line must be closed before the selected project line can be closed.

3. In the Prev Proj Line Code field, enter the project line code on that project that must be closed before the selected project line can be closed.

4. Press [Commit].

Copying Projects

1. Enter the project number.

2. Enter the project description.

3. Enter the customer for the project. The customer must have an existing record for the financial enterprise that you are logged into.

4. Enter the customer purchase order number, if desired.

5. Enter the customer contact. The default is from the customer record.

6. Enter the employee number for the manager of the project, if desired.

7. Enter the employee number for the leader of the project, if desired

8. Enter the sales location. The default is from the customer record.

9. Enter the ship to code for the customer. The customer's default ship to code is entered automatically from the customer record.

10. Enter the sales representative for the customer and project. The customer's account representative from the customer master is entered automatically.

11. Enter the project urgency, if desired. This is a user-defined field.

12. Select the billing type. This determines how the customer will be billed for the project. Projects whose billing type is either Time & Material or Progress billed can have project lines billed based on the unbilled transaction details before the project line is completed.

*     The billing type pop-list default setting is set in program PMPM, Project Parameter Maintenance.

*     Time and Material: Customer will be billed as information is recorded for the project.

*     Progress: Customer will be billed as information is recorded for the project.

*     Completion: Customer will not be billed until project is completed. You cannot bill at the detail level if this billing type is selected.

*     Shipment: Customer will be billed when the project is recorded shipped.

*     Not Billed: Customer will not be billed for the project, it is simply collecting cost. Sub Tier projects that are being linked to a master project line with a Billing Source of Job Price should set this flag to Not Billed.

13. Select the cost basis. The cost basis determined which cost set is used to calculate the budget, profit, and progress in this program. No matter what the setting, actual cost is used for expense project lines.

*     The cost basis pop-list default setting is set in program PMPM, Project Parameter Maintenance.

*     Actual Cost: the actual cost for labor will be used and the secondary manufacturing cost will be used for materials and purchases.

*     Standard Cost: the standard cost for labor will be used and the S type cost for materials and purchases will be used.

14. Select the status for the project.

*     Quoted: The project has been quoted to the customer. Nothing can be reported against the project at this time. Sub projects with this status can be linked to master projects. Master projects with this status can have sub projects linked to them.

*     Lost. The project was quoted but not accepted. Nothing can be reported against a lost project.

*     Authorized: The project has been authorized and can be begun. Sub projects with this status can be linked to master projects. Master projects with this status can have sub projects linked to them.

*     Complete: The project is completed. Sub projects with this status can be linked to master projects.

*     Closed: The project has been closed. Nothing can be reported against a closed project.

*     Cancelled: The project has been cancelled. Nothing can be reported against a cancelled project.

*     Template: The project is a template for other projects. Nothing can be reported against a template project.

15. Enter the project price, if desired. This is used to record progress billings against the project.

16. Enter the Project ID. The project ID can be used in general ledger postings.

17. Enter the project due date.

*     If the Default Project Line Dates flag is set to on in program PMPM, Project Parameter Maintenance, the project line due dates will default as the date entered here.

*     If the Default Project Line Dates flag is set to off in program PMPM, Project Parameter Maintenance, the project line due dates will not default to the date entered here.

18. In the Copy From Project No field, enter the project number from which you wish to copy the project lines.

19. Press [Commit].

Transferring Project Line Codes

You cannot transfer project lines for which billing information has been entered.

1. Press the [Line Transfer] button.

2. In the Transfer From section, enter the Project number for which you wish to transfer lines.

3. Enter the Project Line Code that you wish to transfer.

4. In the Transfer To section, enter the Project number of the project to which you are transferring lines.

5. In the Project Line Code field, enter the project line code to which you are transferring the line. The Project line code cannot exist on the transfer to project. It will be created.

6. Press [Commit]. All information for the transfer from project line code will be moved to the transfer to project line code.

7. You can transfer lines on the same project. The old project line will be deleted and replaced with the new project line code. All of the information from the old project line code will be copied to the new project line code.

PMMM Action Buttons

Line Transfer

Press this button to transfer a line code from one project to another. This will move all information from the transfer from project line code to the transfer to project line code. The transfer from project line code will no longer exist on the transfer from project.

Create PO

Press this button to create a purchase order according to the information entered on the Options Tab. Purchase orders can be modified in program POEM, P.O. Entry/Maintenance.

Create/Update Calendar

Press this button to initially create the calendar, and to update the calendar after new transactions have been entered for the project line.

Create Work Order

Press this button to create a work order for the entered item. A pending work order will be created in program WOEM, Work Order Entry/Maintenance.

Master

Press this button to drill down to the master project for this project. When projects are assigned to master projects, the master project number is displayed in the Master Proj No field.

Press this button to renumber the job lines in sequences of 10.

Sub-Tier

Press this button to drill down to the sub-tier project for the selected project line. Sub tier project numbers are entered in the Sub Tier Project field

Summary

Press this button to view a summary by group code of the information entered for the project, including Total Budget Remaining, Total Billing Remaining, and Total Actual Profit.

Templates

Press this button to assign, remove, and view the engineering specifications that have been assigned to the project line code.

Template Selector

Press this button to add or remove engineering specifications for this project line code.
