Program PHCE, Cycle Count Entry/Maintenance, is used to enter cycle count results.

The counts for inventory items previously selected, as well as for extra items, are recorded on the worksheet or on tags, then entered into the system with this program.

The items are selected for counting with program PHCP, Cycle Count Preparation. The worksheet is printed with program PHPW, Cycle Count Worksheet, and the tags are printed with program PHPT, Inventory Tag Print.

After the count results are entered with this program, the deviation journal should be printed with program PHDJ, Cycle Count Deviation Journal. If counting errors are found, make corrections with program PHCE, Cycle Count Entry/Maintenance, and re-print the journal.

When all counts have been entered correctly, update the actual inventory records with program PHCU, Cycle Count Update.

Entering Count Information

1. In the Enter the Batch Number field, enter a batch number for the cycle count.

2. In the Enter the Counter's Initials field, enter the counter's initials.

3. Press the [Enter Counted Tags] button.

4. Query the worksheet/tags by pressing the [Execute Query], or you can query a specific item number on the worksheet/tags.

5. In the Count field, enter the item count.

6. In the Count UM field, enter the unit of measure in which the item count was entered. This unit of measure must exist as an alternate unit of measure for the item in program ICMM, Inventory Master Maintenance.

7. You cannot change the Control No for a tagged item. If the control number is incorrect, you should set the count to zero. Then enter the new control number either through the [Enter Extra Tags] button (page 2 of the form) or through ICIA, Inventory Adjustments once the cycle count is complete.

8. In the Count Date Time field, enter the date and time of the count.

9. If you find a location on the worksheet that is not correct, set the count to zero and the delete flag to on. If the correct location is not included elsewhere on the worksheet, enter the count for that location on as an extra line or tag.

10. You can void a single tag by setting the Void flag to on.

11. Press [Commit].

12. In the lower block, custom bar-coding programs will insert the employee, units counted, and stock unit of measure for each item.

13. When all counts have been entered correctly, update the actual inventory records with program PHCU, Cycle Count Update.

Entering Extra Tags and Worksheet Lines

1. In the Enter the Batch Number field, enter a batch number for the cycle count.

2. In the Enter the Counter's Initials field, enter the counter's initials.

3. Press the [Enter Extra Tags] button.

4. You can query existing extra tags, or you can cancel the query and enter extra tags.

5. To enter a new tag, press the [New Record] button.

6. In the Item No field, enter the item number.

7. In the Control No field, if the item is a controlled item, enter the control number.

8. In the SKU UM field, enter the unit of measure in which the count will be entered. This unit of measure must exist as an alternate unit of measure for the item in program ICMM, Inventory Master Maintenance.

9. In the Raw Count field, enter the count of the item in the SKU unit if measure.

10. In the Stock Area field, enter the stock area in which the item was counted.

11. In the Bin field, enter the bin location in which the item was counted.

12. In the Count Date Time field, enter the count date and time.

13. If you need to void an extra tag, set the void pop-list to Void.

14. Press [Commit]. When all counts have been entered correctly, update the actual inventory records with program PHCU, Cycle Count Update.

Voiding a Range of Tags

1. On the first screen, query the batch number for which you wish to void a range of tags.

2. Click on the [Void a Range of Tags] button.

3. In the Starting Sequence Number field, enter the first sequence number in the range of numbers to be voided for this batch.

4. In the Ending Sequence Number field, enter the last sequence number in the range of sequence numbers to be voided for the batch.

5. Press [Commit].

6. If all tags in the batch are to be voided except for the extra tags and line items, the entire batch will be voided.

7. No maintenance can be performed against a voided batch.

Enter the counts for extra items that were not included in the selection in program PHCP, Cycle Count Preparation.
