Program LSEM, Load Sheet Maintenance, is used to select line items from any open order for a specific customer, creating a load sheet to ship them at the same time with the same carrier. A single sales order is selected as the base sales order, and order lines from other open sales orders for the customer are added to the base sales order. The sales order line weights are added together and displayed in the upper block.

*        You must have an employee number assigned to your user security record in program MUSC, User Security Maintenance, to ship load sheets with this program.

Sales order lines can be fully or partially shipped in this program. For the base sales order, the remaining quantity on the line is backordered. When a sales order line is selected from another sales order, and the entire order quantity is not shipped, the leftover order quantity remains on the original open order.

Controlled items work as follows:

*        If no reservations exist, the control number to be shipped must be entered for the sales order line to be shipped.

*        If reservations exist, and you enter a control number in this program, the entered control number will override the reservations.

*        If reservations exist and no control number is entered in this program, the reservations will be shipped provided the entire line order quantity is shipped.

*        If reservations exist and you do not fully ship the line, the reservations will not be used, and you should enter a control number in this program.

Creating and Shipping Load Sheets

There are two ways to create a load sheet - from an existing sales order or by creating a new sales order.

1. In the Load Sheet ID field, enter the load sheet ID. If you leave this field blank, the load sheet ID will be generated when the load sheet is committed.

2.  If you are creating a load sheet from an existing sales order, follow these instructions.

*        Tab through the Customer field to the Base Order No field.

*        Enter the existing base sales order number for which you are creating a load sheet. You can select from the list of values.

*        Press [Commit]. The load sheet will be created from the base sales order.

3. If you are creating a load sheet by creating a new sales order, follow these instructions.

*        In the Customer field, enter the customer for which you are creating the load sheet.

*        The ship via code and carrier will be entered from the customer record when the sales order header is created.

*        If the ship via code and carrier for this load sheet are different than those assigned to the customer record, you can change them before creating the sales order.

*        If a customer purchase order number and line number exist for the load sheet, you can enter them in the header.

*        Once the customer has been entered, press the [Create Base Order] button to create the sales order and load sheet.

4. In the Ship Via field, the ship via code from the base sales order will be displayed and can be changed.

*        When the ship via code is updated here, the carrier from the ship via code record will be written to the carrier field. When the load sheet is committed, the ship via code will be written to the base sales order.

5. In the Carrier field, the carrier from the base sales order is displayed. You can change the carrier and when the load sheet is committed, the ship via code will be written to the base sales order.

6. The sales order lines from the base sales order will be entered when the load sheet header is created.

*        You can delete base sales order lines from the load sheet. They will be backordered when the load sheet is shipped.

*        The customer purchase order number and line number will be copied from the sales order lines to the load sheet lines.

7. For the existing sales order lines, you can modify the quantity shipped, control number, location, line weight, customer purchase order, and customer purchase order line.

8. To add new sales order lines, press the [Select Lines] button to display all open sales order lines for the customer. The displayed sales order lines have not been included on a load sheet.

*        To include a sales order line on the load sheet, set the Include flag to on. To set the Include flag to on for all displayed sales order lines, press the [Select All] images\ebx_-108529838.gif button.

*        If you do not wish to include the sales order line on the load sheet, set the Include flag to off. To set the Include flag to off for all displayed sales order lines, press the [Deselect All] images\ebx_-1278534720.gif button.

*        When all desired sales order lines have the Include flag set to on, press the [Include as Checked] button.

*        Only sales orders for the same customer as the base sales order can be added.

*        When a sales order line from another sales order is enter on a load sheet, a comment is written to the old sales order header including the line number and the sales order to which it was written. This information is also added to the header comments on the load sheet base sales order.

*        The customer purchase order and line number will be copied to the load sheet line.

9. In the Qty field, enter the quantity that is being shipped. The Qty field defaults to the ordered quantity from the sales order line.

10. In the Area field, enter the stock area from which the item will be shipped. The default stock area from program ICEM, Item Plant Maintenance, will be entered automatically.

11. In the Bin field, enter the bin location from which the item will be shipped. The default bin location from program ICEM, Item Plant Maintenance, will be entered automatically.

12. In the Control No field, enter the control number that is being shipped, if the item is lot or serial controlled.

*        If no reservations exist, the control number to be shipped must be entered for the sales order line to be shipped.

*        If reservations exist, and you enter a control number in this program, the entered control number will override the reservations.

*        If reservations exist and no control number is entered in this program, the reservations will be shipped provided the entire line order quantity is shipped.

*        If reservations exist and you do not fully ship the line, the reservations will not be used, and you should enter a control number in this program.

13. In the Line Weight field, you can manually change the line item ship weight.

14. In the Cust PO field, enter the customer purchase order number for this load sheet line, if appropriate.

*        For load sheets, if the load sheet line does not have a customer purchase order number, the one entered in the header will NOT be copied to the line.

15. In the Line # field, enter the customer purchase order line number for this load sheet line, if appropriate.

*        For load sheets, if the load sheet line does not have a customer purchase order line number, the one entered in the header will NOT be copied to the line.

16. You can enter the bill of lading line number on which the line item is entered on this load sheet. The bill of lading packaging information is displayed and can be maintained with the [Packaging] button. This information is all user-entered and user-defined.

17. When all line items have been entered, press [Commit].

18. To ship the load sheet, press the [Ship Load Sheet] button. The date and time that the load sheet was shipped will be entered in the Ship Time field.

Entering Bill of Lading Packaging Information for Load Sheets

1. Press the [Packaging] button to maintain the bill of lading container information for the load sheet. This information is all user-defined and user-entered.

2. In the BOL Line field, enter the bill of lading line number.

3. In the Container Type field, enter the container type for the container in which the items assigned to this bill of lading line were shipped.

*        Container types are entered in program ICCT, Container Type Maintenance.

4. In the Count field, enter the number of containers.

5. In the Text field, enter any text for the bill of lading line.

6. In the Weight field, enter the container weight for this bill of lading line.

7. In the Class field, enter the bill of lading line class.

8. Press [Commit].

Press this button to return to the load sheet without adding any sales order lines.

Create Base Order

Press this button to create a base sales order for the load sheet for the entered customer.

Press this button to set the Include flag to off for all displayed sales order lines.

Include as Checked

Press this button to add all sales order lines with the Include flag set to on to the load sheet.

Packaging

Press this button to maintain the bill of lading container information for the load sheet. This information is all user-defined and user-entered.

Press this button to display the open sales order lines for this customer that can be included on the load sheet.
