Program GMEM, Enterprise Maintenance, is used to add, delete, and maintain enterprise codes.
* Financial enterprises usually equate to companies or tax reporting entities in an organization. Typically, one local enterprise is established for each tax reporting entity.
* Parent/consolidation enterprises can be established to summarize similar or related companies.
* Plants can be used to identify separate inventory locations.
* The data entered for financial enterprise codes includes flag settings that influence the operation of many programs in the General Ledger module. It also influences defaults that appear during the operation of many programs throughout the system.
* The financial enterprise code is used as positions one through three in general ledger account numbers.
* To maintain an enterprise, your user ID must be logged into that enterprise or its parent or consolidation enterprise in program SPDM, System User Default Maintenance. You must also be authorized access to the enterprise in program SPUM, System Authorization Maintenance.
* If a local enterprise does not have a parent/consolidated enterprise, the local enterprise should have the Orphaned flag set to on. For local enterprises that belong to a parent/consolidated enterprise, the Orphaned flag should be set to off, and the parent/consolidated enterprise should be entered in the Parent Enterprise field.
* The country code assigned to the financial enterprise is used to determine the local currency for the enterprise. See the Alternate Currency section for more information.
When you initially enter this program, an enterprise will already be partially set up. This is the setup financial enterprise that was entered during installation of the system.
Program GMEL, Enterprise Listing, is used to print a listing of data for enterprise codes. Use program GMEP, Enterprise Purge, to purge enterprise codes for which the Delete flag is on.
1. In the Enterprise field and Description field, enter the enterprise code and description for the new enterprise.
* When you initially enter this program, a financial enterprise will already be partially set up. This is the setup financial enterprise that was entered during installation of the system.
2. In the Parent Enterprise field, if the financial enterprise has a parent/consolidated enterprise, enter the enterprise code for the consolidated enterprise.
* If the enterprise has a parent enterprise, the parent enterprise must be either the current consolidated enterprise accessed by program SPDM, System User Default Maintenance, or a subsidiary consolidated enterprise of that enterprise which is not flagged for deletion.
* Local enterprises are not required to have a consolidated enterprise. See step 3 if the enterprise does not have a parent or consolidated enterprise.
3. If the financial enterprise is a Local enterprise without a consolidated/parent enterprise, set the Orphaned flag to on. This will define the enterprise as an orphaned enterprise, which means it has no parent enterprise.
4. In the Address 1 field and Address 2 field, enter the street address of the financial.
5. In the City field, enter the financial enterprise city.
6. In the State field, enter the financial enterprise state.
7. In the Zip Code field, enter the financial enterprise zip code.
8. In the County field, enter the county for the financial enterprise, if desired.
9. In the Country field, enter the country code for the financial enterprise.
* When you enter a new enterprise for a country that already has at least one enterprise in it, the SPT, AVG, and HIS exchange rate records from the existing enterprise are duplicated for the new enterprise.
* The country code assigned to the financial enterprise is used to determine the local currency for the enterprise.
10. In the Phone Number field, enter the telephone number for the financial enterprise.
11. In the Fax Number field, enter the fax number for the financial enterprise.
12. In the E-mail Address field, enter the email address for the financial enterprise.
13. If this enterprise is a tax reporting enterprise, the Federal ID Number must be entered.
* The financial enterprise must have a federal ID number to print 1099 forms.
14. Set the Enterprise Indicator to the appropriate setting.
* If this is a local enterprise, then set the pop-list to local.
* If this is a consolidated/parent enterprise, set the pop-list to consolidated.
15. Set the Foreign/Domestic/Combined flag to the appropriate setting. Choices are Foreign, Domestic, or Combined.
* This pop-list is used for currency conversion and exchange rates.
* If the Enterprise Indicator is set to Local, this flag cannot be set to Combined because Combined is used by parent enterprises to summarize different types of currency.
* This flag and the calendar type are in no way related.
16. In the Tax Reporting Enterprise field, enter the tax reporting enterprise for this financial enterprise.
* The tax reporting enterprise can be this enterprise.
* If the pop-list is set to Domestic, an entry must be made in this field, however, the field is only used as a reference.
17. In the Calendar Type field, enter the calendar type for the financial enterprise.
* The system is supplied with the following calendar types: Combined, Foreign, and Domestic. In spite of the identical names, these types are not directly related to the Foreign/Domestic/Combined flag type used for currency conversions.
* Calendar types are used to assign the enterprise a calendar type, which is created in program GLFM, Fiscal Period Maintenance, along with its defined periods. It is also used to relate periods during consolidation. For example, a fiscal July period 1 and a calendar period 7 are consolidated by adding the detail for matching dates.
* Additional calendar types can be entered in program GLFM, Fiscal Period Maintenance, and assigned to enterprises in this program.
* You can change the calendar type for existing enterprises only if no fiscal periods have been closed.
18. In the Retained Earnings Acct field, enter the retained earnings detail general ledger account for the financial enterprise.
* This is the account from program GLTM, Account Maintenance, for the retained earnings account.
* You can enter the retained earnings account after your general ledger information has been set up.
* You MUST enter this account before any postings are made to the general ledger or problems may occur.
* DO NOT make manual postings to the retained earnings account that is entered in program GMEM, Enterprise Maintenance, for the enterprise. If adjustments need to be made, they should be made to a separate detail account. This adjustments detail account and the retained earnings detail account can then be summarized to a retained earnings summary account to show the adjusted retained earnings.
19. Press [Commit].
20. If you want to delete an enterprise, set the Delete flag to on.
* Enterprises cannot have the delete flag set to on if they are used in existing data.
* Enterprises are not actually deleted until program GMEP, Enterprise Purge, is run, but financial enterprises with the delete flag set to on cannot be used in the system.
