Program CZMM, Customer / Zip Code Master Maintenance, is used to create a cross reference between customers and zip codes to allow users to select customers by zip code during sales order entry. An example of a use for this feature might be if your customers are your dealers. Customers can be assigned to multiple zip codes and to zip code ranges.

*   Use program UTCV, Delimited File Manager, to load zip code / customer cross references from a csv file.

Sales order entry programs include program OEOE, Sales Order Entry Maintenance, program OQEM, Sales Order Quotation Entry/Maintenance, and program ARIE, One Step Invoice Entry.

When a customer is set up in this program for the desired zip code or zip code range, when a zip code is entered using the [Zip Code] button images\ebx_1245844674.gif in a sales order entry program, the customer is automatically entered on the sales order, and the ship to address is cleared for entry by the user.

The sales order entry programs choose the customer in the following fashion:

*   If a customer has been assigned only the zip code that has been entered in the sales order entry program, that customer is selected for the sales order.

*                                                If multiple customers have been assigned only the zip code that has been entered on the sales order, the first customer numerically will be selected for the sales order.

*                                                If no customer has been assigned only the zip code entered in the sales order entry program, the program will look at the zip code ranges that include the zip code. The program will select the customer with the smallest range that includes the zip code.

*                                                For example, suppose there are three customers entered that include a zip code range and the zip code entered is 34653.

C-1: 34650 through 34660

C-2: 34650 through 34658

C-3: 34650 through 34655

*                                                The program will select customer C-3 because the range assigned is the smallest range that includes the zip code.

Additional information that can be set up for customers and zip codes include sales representatives with commission codes.

*   The city and state are entered automatically from program SPZM, Zip Code Maintenance, when the zip code range is entered. When the customer is selected from this program and entered on the sales order, the city and state are copied to the ship to address in the Addresses block with the zip code.

*   Sales representatives and commission codes are entered for each cross reference in program CZMM, Customer / Zip Code Master Maintenance. The sales representatives and commission codes assigned to the cross reference take precedence over those entered for the customer in program CMMM, Customer Master Maintenance.

*                                                When the customer is selected from program CZMM, Customer / Zip Code Master Maintenance, the sales representative is first selected from the sales representative assigned to the cross reference in program CZMM, Customer / Zip Code Master Maintenance.

*                                                If there is no sales representative assigned in program CZMM, Customer / Zip Code Master Maintenance, the sales representative assigned to the customer in program CMMM, Customer Master Maintenance, is used.

*                                                If the sales representative is selected from program CZMM, Customer / Zip Code Master Maintenance, and there is a commission code assigned to the cross reference in program CZMM, Customer / Zip Code Master Maintenance, that commission code is used.

*                                                If there is no commission code assigned to the cross reference in program CZMM, Customer / Zip Code Master Maintenance, the DEFLT commission code is used on the sales order. This allows the commission to be calculated according to the commission levels assigned to the sales representative in program SMMM, Sales Representative Master Maintenance.

Entering Customer / Zip Code Cross References

1. In the Customer Number field, enter the customer number for which you are entering zip code cross references.

2. In the Country field, enter the country code for which you are entering zip code cross references.

3. In the Zip From field, enter the first zip code in the range of zip codes to which this customer is assigned. If you are assigning the customer to a single zip code, enter that zip code here.

*        If you enter a range of zip codes, the customer can be selected for any zip code in the range. For example, if you entered 34650 to 34652, the customer can be selected for 34650, 34651, and 34652.

*        If you wish the customer to be selected for multiple zip codes that are not sequential, enter multiple records for the customer. For example, if the customer would be selected for 34655, 34677, and 33762, you would enter three records for the customer, one for each zip code.

4. In the Zip Thru field, enter the last zip code in the range of zip codes to which this customer is assigned.

5. The city is entered automatically from the zip code record in program SPZM, Zip Code Maintenance. When the customer is selected from this program and entered on the sales order, the city is copied to the ship to address in the Addresses block.

6. The state is entered automatically from the zip code record in program SPZM, Zip Code Maintenance. When the customer is selected from this program and entered on the sales order, the state is copied to the ship to address in the Addresses block.

7. In the Sls Rep field, enter the desired sales representative for the customer. This is an optional field.

*        If you enter a sales representative in this field, this sales representative will override the sales representative on the customer record.

*        If you do not enter a sales representative in this field, the sales representative on the customer record will be used.

8. In the Comm Code field, enter the commission code to be used for this sales representative. This is an optional field and is only used if a sales representative is entered.

*        The commission code entered here for the sales representative overrides the commission code assigned to the sales representative in program SMMM, Sales Representative Master Maintenance.

*        If you do not enter a commission code in this field, the DEFLT commission code is used on the sales order. This allows the commission to be calculated according to the commission levels assigned to the sales representative in program SMMM, Sales Representative Master Maintenance.

9. When you have completed entering the cross reference, press [Commit].
