Program CRPM, Customer Rebate Program Maintenance, is used to define rebate programs for customers. Once the rebates programs have been defined and assigned to customers, the rebates owed to each customer according to their sales is calculated in this program.
There are six tabs in this program.
* Rebate Set Up: Define the rebate programs
* Customer Summary: Assign customers to a rebate program. Define the sales goal. Calculate sales and rebate revenue and calculate the rebate earned.
* Customer Detail: View rebate detail information.
* Sales History: View sales history for the selected customer. If the Sales Incl Children flag is set to on, the sales history for the customer's children, grandchildren, and so on will also be displayed.
* Sales PG History: View sales history by product group for the selected customer. If the Sales Incl Children flag is set to on, the sales history for the customer's children, grandchildren, and so on will also be displayed.

Rebate programs are defined on the Rebate Set Up tab.
1. In the Rebate Code field, enter an identifying code for the rebate program.
2. In the description field to the right of the Rebate Code field, enter a description for the rebate program.
3. In the Text field, enter any additional descriptive text for the rebate program, such as how the rebate is calculated.
4. Set the Active flag to the desired setting. When this flag is set to off, the rebate program is not active and cannot be used to calculate rebates for customers.
5. Set the Frequency flag to the desired setting. Choices are Annual, Quarterly, and Monthly.
6. In the Rebate Sub Code field, enter an identifying code for this level of the rebate.
7. In the Min Sales field, enter the minimum sales dollars that the customer must purchase to qualify for this rebate.
* If the minimum number of product groups is defined in the Min PG Req field and the Limit Sales to PG flag is set to on, this is the minimum sales dollars that the customer must purchase in the associated product groups in order to qualify for a rebate.
8. In the Max Sales field, enter the maximum sales dollars that the customer can purchase to qualify for this rebate.
* If the minimum number of product groups is defined in the Min PG Req field and the Limit Sales to PG flag is set to on, this is the maximum sales dollars that the customer can purchase in the associated product groups in order to qualify for a rebate.
9. In the Min $ Over Goal field, enter the dollar amount by which the customer must exceed their sales goal before they can qualify for the rebate. If an entry is made in this field, the Min % Over Goal field will not be used.
10. In the Min % Over Goal field, enter the percentage by which the customer must exceed their sales goal before they can qualify for the rebate. If an entry is made in this field, the Min $ Over Goal field will not be used.
11. In the Min PG Req. field, enter the minimum number of product groups defined in the lower block from which the customer must buy in order to receive the rebate.
12. Set the Limit Sales to PG flag to the desired setting. When set to on, the calculations of the customer sales for the rebate is limited to the product groups defined in the lower block. When set to off, the calculation of the customer sales for the rebate is not restricted by product groups.
13. In the Rebate Pct Over Goal field, enter the percentage that will be used to determine the rebate for this rebate program. This percentage is applied to the customer's sales revenue above the value calculated according to the customer's eligible sales and the Min % Over Goal or Min $ Over Goal.
14. In the Rebate Pct Tot Sales field, enter the percentage of the customer's total sales revenue that will be used to determine the rebate for this rebate program if the customer qualifies for this rebate.
* If the rebate sub code has parent sub codes, when calculating the rebate, the percentage in this field is combined with the values defined for the parent sub codes to determine the total percentage to apply.
15. In the lower block, the product groups for the current rebate sub code are displayed. The current rebate sub code is displayed in blue in the upper block. The product groups entered here are those that are used for the Min PG Req field parameter and the Limit Sales to PG flag parameter.
16. To assign a product group to a rebate sub code, in the Product Group field, enter the desired product group. Repeat until all product groups are entered. Product groups are used in two ways for rebate calculations:
* If the Min PG Req field has a value, the customer has to purchase from that number of the product groups defined here in order to be eligible for the rebate.
* If the Limit Sales to PG flag is set to on, when calculating the customer's eligible sales, only sales dollars from the product groups assigned here are considered.
* Example: suppose that the Limit Sales to PG flag is set to on, there are three product groups in the lower block for the rebate sub code, and the minimum sales required is $100,000. Only sales from the three product groups in the lower block will be considered towards the $100,000 minimum value.
* Example: suppose that the minimum number of product groups required is three, there are eight product groups associated with the sub code in the lower block, and the Limit Sales to PG flag is set to off. All of the customer's sales will count towards the minimum sales value. If the Limit Sales to PG flag is set to on, then the sales must include at least three of the eight associated product groups, but all sales for the customer from the eight product groups will count towards the minimum sales value.
17. In the lower block, in the Parent Sub Code fields, parent rebate sub codes can be defined for a rebate sub code. If the rebate sub code requires that the parameters for another rebate sub code be met before the customer is eligible, this is where you define which rebate sub codes must be met before this rebate sub code can be used.
* Suppose that the rebate program has a base rebate sub code with a rebate percentage of one percent when the minimum sales are met. Level A under the same rebate program will add another half percent if the minimum is exceeded by five percent. Level B will add another half percent if the minimum is exceeded by ten percent. Under this scenario, Level B cannot be achieved without first achieving Level A and Level A cannot be achieved without first achieving the Base goal. Level A would be set up with a parent of Base. Level B would be set up with a parent of A. Level A would be a final rebate of one percent and Level B would be a final rebate of one and a half percent.
18. Press [Commit].
19. Repeat rebate sub code set up until all levels of the rebate program have been defined.
20. Press the [Purge] button to delete all rebate programs.
On the Customer Summary tab, you can assign customers to rebate programs.
1. At the top of the screen, set the Show Year pop-list to the desired year.
2. Set the Show Period pop-list to the desired period.
3. Set the Show Rebate pop-list to the rebate program to which you are assigning the customer.
4. On the Customer Summary tab, in the Cust No field, enter the customer number to which you are assigning a rebate program.
5. In the Rebate Code field, enter the code for the desired rebate program.
6. The Sales Goal is calculated automatically but can be changed, if desired. The Sales Goal is initially calculated as the greater of the customer's last year's sales and the customer's sales goal last year.
7. In the Year No field, make sure the desired year number is displayed. The default is the year in the Show Year pop-list in the header.
8. In the Per field, make sure the desired period number is displayed, if the rebate program has a frequency other than annual. The default is the period in the Show Period pop-list in the header.
9. Press [Commit].
On the Customer Summary tab, you can calculate the customers' sales revenue, rebate revenue, and rebate earned to date.
1. At the top of the screen, set the Show Year pop-list to the desired year. The customers for that year will be queried automatically.
2. Set the Show Period pop-list to the desired period.
3. Set the Show Rebate pop-list to the rebate program for which you are calculating rebates.
4. If you wish to view a single customer, in the Show Customer field, enter the customer number.
5. If you wish the view to include all customers that are assigned a parent customer to whom the rebate code is assigned, set the Include Children flag to on.
6. On the Customer Summary tab, set the Sort pop-list to the desired setting. The records on the screen will be sorted by the value selected in this pop-list. Choices are:
* Year/Customer/Rebate
* Rebate/Year/Customer
* Customer/Rebate/Year
* Customer/Year/Rebate
7. Set the selection flag to the left of the desired customer(s) to on.
* To select all customers, click on the [Select All]
button above the selection flags. The flag will be set to on for all displayed customers. Individual customers can be deselected after this button is pressed.
* .To deselect all customers, click on the [Deselect All]
button above the selection flags. The flag will be set to off for all displayed customers. Individual customers can be selected after this button is pressed.
8. Set the Sales Incl Children flag to the desired setting. When set to on, the sales calculation will includes sales for any customer that has this customer set as the parent customer. This also includes any children of those customers, and children of those customers, and so on. When set to off, only sales for the customer itself will be included.
9. To calculate the sales revenue, rebate revenue, and the rebate earned to date for the selected customers, click on the [Recalc Sales and Rebate Earned] button in the header.
10. To recalculate the rebate sales goal for the selected customers, click on the [Recalc Sales Goal] button in the header.
11. To create the rebate record for the next year for the selected customers, click on the [Create Next Year] button in the header.
12. To create the rebate record for the next period for the selected customers, click on the [Create Next Period] button in the header.
13. To view rebate detail for a customer, click on the [Go To Detail]
button to the right of the desired customer rebate record. This will take you to the Customer Detail tab, with that customer and year queried.
The Customer Detail tab displays the detailed rebate information for customers. If you navigated here by selecting the tab in the header, the tab shows the detail information for the first record on the Customer Summary tab. If you navigated here using the [Go To Detail]
button on the Customer Summary tab, the tab displays the detail information for the customer for which you pressed that button. You can also enter and execute queries on this tab, but the information cannot be maintained. You can see for which customer you are viewing information in the Show Customer field in the header.
The rebate detail includes the customer number, customer name, year, rebate code, rebate sub code, sales revenue, rebate revenue, and rebate earned.
1 Set the Show Year pop-list to the desired year.
2. Set the Show Period pop-list to the desired period.
3. Set the Show Rebate pop-list to the rebate program for which you are calculating rebates.
4. If you wish to view a single customer, in the Show Customer field, enter the customer number.
5. If you wish the view to include all customers that are assigned to parent customer in the Show Customer field, set the Include Children flag to on.
6. If you wish to view all customer rebate detail, including detail records for which the customer is eligible but has not yet qualified, set the Show Rebates Outside of Sales Range flag to on.
7. The color of the Rebate Revenue indicates whether or not the necessary parameters have been met for the customer to receive a rebate. The rebate revenue is the portion of the total sales revenue that will be used to calculate the rebate earned.
* Black indicates that all parameters have been met.
* Red indicates that the customer's sales are below the goal.
* Green indicates that the minimum number of product groups has not been met.
* Blue indicates that the percentage over the sales goal has not been met.
8. To view the summary rebate record for a customer, click on the [Go To Summary]
button to the right of the desired customer rebate record. This will take you to the Customer Summary tab, with that customer and year queried.
The Sales History tab displays the sales history for the customer displayed in the Show Customer field in the header. This field defaults to the customer that has the cursor in one of the fields when the tab was selected. If the Include Children flag is set to on in the header, this tab also displays sales history for the current customer's children, grandchildren, and so on.
The records on this tab can be sorted by the values selected in the Sort pop-list. Choices are:
* Customer/Year
* Year/Customer
* Sales

The Sales PG History tab displays the sales history by product group for the customer displayed in the Show Customer field in the header. This field defaults to the customer that has the cursor in one of the fields when the tab was selected. If the Include Children flag is set to on in the header, this tab also displays sales history by product group for the customer's children, grandchildren, and so on.
The records on this tab can be sorted by the values selected in the Sort pop-list. Choices are:
* Year/Customer/PG
* Customer/Year/PG
* PG/Customer/Year
* PG/Sales
* Sales
The sales history by product group includes the customer number, customer name, parent customer number, year, period, period type, product group, product group description, and total sales.
Displays the meaning of the colors of the Rebate Revenue field.
Create the rebate record for the next period for the selected customers.
Create the rebate record for the next year for the selected customers.
Set the selection flag to off for all customers displayed. Individual customers can be selected after this button is pressed.
Go to the Customer Detail tab with the detail rebate record queried for this customer and year.
Return to the Customer Summary tab with the summary record queried for this customer and year.
Delete all customer rebate programs.
Calculate the sales revenue, rebate revenue, and rebate earned to date for the selected customers.
Recalculate the default sales goal for the selected customers.
Set the selection flag to on for all customers displayed. Individual customers can be deselected after this button is pressed.
