New features added, version 7.5.2, 7.5.3, 8.1
Program ARLM, Location Maintenance, is used to add and maintain your company location records for sales order entry and shipping. Location codes are applied to sales orders and one-step invoices.
The location linked to an order identifies the general ledger interface records to be used from program GPTM, Posting Template Maintenance.
Purchase order ship to records are created automatically in program POSM, P.O. Ship-To Maintenance, when sales location records are entered in this program. Only basic information is entered on the Purchase order ship to records and they need to be updated once created.
1. In the Code field, enter the sales location code.
2. In the Location Name field, enter the sales location name to which mail for the sales location should be sent.
3. In the Remit To Address fields, enter the sales location address to which mail for the sales location should be sent.
4. In the Phone No field, enter the telephone number for the location.
5. In the Finance Ent and Bank fields, enter the financial enterprise and bank for the sales location.
6. In the Manufact Ent and Pl fields, enter the manufacturing enterprise and plant for the sales location. This identifies the manufacturing plant in which work orders are created and the default shipping location for inventory.
* The default ship from plant is the plant from which the inventory will be shipped and for which sales allocations are made for this order line.
* The default ship from plant entered here is overridden by the default ship from plant entered for each item in program ICEM, Item/Plant Maintenance. If there is no default ship from plant for an item entered in program ICEM, Item/Plant Maintenance, the item will use the plant entered here as its default.
* The list price and unit cost for the item are taken from the plant entered on the sales order. If the plant record is changed, the list price and unit cost are also changed to that of the new plant.
7. In the BOL At Location field, enter the bill of lading at location name. Information entered here will print in the At field on the bill of lading.
8. In the BOL From Name field, enter the bill of lading from location name. Information entered here will print in the From field on the bill of lading.
9. In the SPLC Code field, enter the Single Point Location Code or NMFTA terminal ID for this address, if appropriate.
10. Define the rest of the sales location parameters on the following tabs. Press [Commit] when all settings have been entered.
1. In the Wholesale Margin field, enter the default minimum margin required for wholesale sales.
* This is the default margin for the sales location, used as the default for customers who have the Pricing Method pop-list in program CMMM, Customer Master Maintenance, set to Margin.
* The margin percentage entered in program CMCM, Customer Credit Maintenance, for a customer will override the margin percentage entered here for the sales location.
* The margin percentage can also be changed on the sales order during sales order entry on the Order Codes screen.
2. Set the Set List Price Equal to Unit Price flag is set to the desired setting.
* If this flag is set to on, the list price will be set automatically to the calculated unit price for the sales order line, and no differences will be posted to the Trade Discount posting type.
* When this flag is set to off, and the list price is anything but zero, when there is a difference between it and the unit price, the difference will be posted to the Trade Discount posting type and general ledger account
3. Set the Bill B/O Freight flag to the desired setting. This feature is used in conjunction with the Clippership Interface or Connectship / WorldEase Interface.
* When this flag is set to on, and a backorder is shipped using the Clippership Interface or Connectship / WorldEase Interface to determine freight charges, the freight charges will be copied to the container record and all container charges will be added up into the Freight Charges field of the Summary page. The freight cost for the sales order will also be updated.
* When this flag is set to off, and a backorder is shipped using the Clippership Interface or Connectship / WorldEase Interface to determine freight charges, the freight charges will be copied to the container record from the interface. However, they will not be written to the Freight Charges field of the Summary page, and the customer will not be charged for them. Freight charges can be entered manually. The freight cost for the sales order will also be updated.
* Backorders are defined as sales orders with a suffix other than 0.
* For those using the Keep Quotes as Won feature, be aware that orders created from OQEM, Sales Order Quotation Entry/Maintenance, will be created with a suffix of 1, and therefore will not have freight charges written to them from the interface if the Bill B/O Freight flag is set to off.
4. Set the Indicate SO Price Restrictions flag to the desired setting.
* When this flag is set to on, and the quantity entered for a sales order line exceeds the maximum quantity entered for a customer/customer price group and item/item price group in the price matrix, the sales order entry program will display a warning message - Special Large Quantity Pricing Required. A workflow is sent to the buyer assigned to the item in the item planning programs.
* When this flag is set to off, no warning is displayed.
5. In the Minimum Order Value field, enter the gross order dollar amount below which a miscellaneous charge will be added to the sales order, for sales orders entered for this sales location.
* The minimum order value can be set up by location and by customer. To set up the minimum order value for the location, go to program ARLM, Location Maintenance. To set up the minimum order value for a customer, go to program CMMM, Customer Master Maintenance.
* If the gross order value of the sales order is equal to or less than the amount entered for the location or customer, the miscellaneous code assigned will be applied to the sales order.
6. In the MOV Misc Cd field, enter the miscellaneous code from program SPMC, Miscellaneous Code Maintenance, that will be applied to the sales order if the gross order amount is below the amount entered in the Minimum Order Value field.
7. In the Minimum Order Value for Automatic Freight Credit (AFC) field, enter the automatic freight credit minimum order amount for this location.
* The minimum order value for the automatic freight credit can be set up by location and by customer. To set up the minimum order value for the location, go to program ARLM, Location Maintenance. To set up the minimum order value for a customer, go to program CMCM, Customer Credit Maintenance.
* If the gross order value of the sales order is equal to or more than the amount entered for the location or customer, the miscellaneous code assigned for the automatic freight credit will be applied to the sales order to reduce the freight amount.
* The minimum order value for the customer overrides the minimum order value for the location, if the value for the customer is greater than zero.
* If parameter AFC_FROM_PRICING_LOC is set to Y in program MURM, Initialization Parameter Maintenance, and the sales location Price From pop-list is set to Price Based on Customer Location, the AFC charges will be determined using the sales location assigned to the customer's record.
8. In the AFC Misc Cd field, enter the miscellaneous code from program SPMC, Miscellaneous Code Maintenance, that will be applied to the sales order if the gross order amount exceeds the amount entered here.
* The miscellaneous code for the automatic freight credit is set up in program SPMC, Miscellaneous Code Maintenance. It can be set up in two ways, as a percentage of the freight charge, or as a percentage of the order total, with a negative sign in front of the percentage.
* If you are charging freight according to freight codes in program SPFM, Freight Code Maintenance, you can set up the code as a percentage of the freight charge. For example, to give 100% discount on freight, you would set the value source as a percentage of freight, and enter -100 in the Pct Value field in program SPMC, Miscellaneous Code Maintenance.
* If you are charging freight as a miscellaneous code, you can set up the code as a percentage of the order. For example, if the miscellaneous code for freight were set as 1% of the gross order total, you would set the value source as a percentage of the gross order total and enter -1 in the Pct Value field.
* If parameter AFC_FROM_PRICING_LOC is set to Y in program MURM, Initialization Parameter Maintenance, and the sales location Price From pop-list is set to Price Based on Customer Location, the AFC charges will be determined using the sales location assigned to the customer's record.
* Custom code can be added to your procuser.sql file to allow you to override the AFC charge, based on user-defined variables. The procuser.sql code will delete the AFC charge from the sales order and not insert a new one when the sales order meets the defined variables.
9. In the Price From pop-list, select how the price will be calculated for sales order line items entered on sales orders with this sales location. Choices are:
* Price Based on Selling Location: The price will be calculated according to the pricing parameters set up for the item in the plant entered in the sales order header. (This is the plant assigned to the sales location record on the sales order.)
* Price Based on Shipping Location: The price will be calculated according to the pricing parameters set up for the item in the plant entered on the sales order line.
* Price Based on Specific Plant: The price will be calculated according to the pricing parameters set up for the plant entered in the Price Plant field in this program.
* Price Based on Customer Location: The price will be calculated according to the plant assigned to the sales location that is assigned to the customer in program CMMM, Customer Master Maintenance. The catalog ID is also taken from the customer location.
If the customer's sales location has the Price From pop-list set to Price Based on Specific Plant, the price will be calculated from the Price Plant assigned to that location.
If the customer's sales location has the Price From pop-list set to Selling Location or Shipping Location, then the plant assigned to the sales location is used.
If the customer's sales location has the Price From pop-list set to Customer Location, then if there is a Price Plant available it is used, if not then the plant assigned to the sales location is used.
* This setting is also maintainable for each sales order, under the [Order Codes] button. In program OEXP, Fast Order Entry, the setting is maintainable on the Customer Tab.
10. In the Price Plant field, if the Price From pop-list is set to Price Based on Specific Plant, enter the plant from which pricing will be calculated for sales orders entered for this sales location.
11. In the Catalog ID field, enter the default catalog ID for sales orders entered in this location.
* Catalog IDs are entered in program SPGM, Global Comments Maintenance.
* When the sales location is changed on a sales order, the catalog ID will be updated for the sales order with the catalog ID entered here.
* When the Price From pop-list is set to Price Based on Customer Location, the catalog ID will default from the sales location assigned to the customer.
12. In the OE List Price Source pop-list, choose the source of your base list price. The list price can be obtained from the quantity price in program CMPC, Price Matrix Maintenance, from the base list price entered in program ICSM, Inventory Sales Data Maintenance, or from the book price in program CMPC, Price Matrix Maintenance.

13. Set the Disable entry of user discount % in Order Entry flag to the desired setting.
* When this flag is set to on, entries cannot be made in the User Discount % field in the sales order entry programs for this sales location.
* When this flag is set to off, entries can be made in the User Discount % field in the sales order entry programs for this sales location.
14. Set the Disable entry of additional discount % in Order Entry flag to the desired setting.
* When this flag is set to on, entries cannot be made in the Addtnl Discount % field in the sales order entry programs for this sales location.
* When this flag is set to off, entries can be made in the Addtnl Discount % field in the sales order entry programs for this sales location.
15. Set the Disable update of list price (except for nonstocks) in Order Entry flag to the desired setting.
* When this flag is set to on, the list price cannot be updated in the sales order entry programs for this sales location, unless the item entered is a non-stock item.
* When this flag is set to off, the list price can be in the sales order entry programs for this sales location.
16. Set the Disable entry of flat discount amount in Order Entry flag to the desired setting.
* When this flag is set to on, entries cannot be made in the Flat Disc field in the sales order entry programs for this sales location.
* When this flag is set to off, entries can be made in the Flat Disc field in the sales order entry programs for this sales location.
17. Press [Commit].
1. Set the Ship Date Calculation pop-list to the desired setting. The setting of this pop-list determines how dates will be calculated during sales order entry.
* Required Date: the required date is calculated as the system date plus the number of days entered in the Req Date Offset field in this program. The estimated ship date is then calculated as the required date minus the shipping lead time from the customer record.
* Ship Date: the estimated ship date is calculated as the system date plus the customer ship to lead time. If the ship to code for the customer does not have a lead time, the customer default lead time is used. If the customer does not have a default lead time, the Req Date Offset value from this program is used. The required date is set to be the same as the ship date.
* None: both the required date and the estimated ship date are set to the system date.
* Manual, Synchronized: both the required date and the estimated ship date are set to the system date. If the required date is changed, the estimated ship date is set to be the same. If the estimated ship date is changed, the required date is set to be the same.
* Offset, Synchronized: both the required date and the estimated ship date are set to the system date plus the number of days entered in the Req Date Offset field in this program. If the required date is changed, the estimated ship date is set to be the same. If the estimated ship date is changed, the required date is set to be the same.
* Req'd Date, No LT: the required date is calculated as the system date plus the number of days entered in the Req Date Offset field in this program. The estimated ship date is set to the system date.
* Ship Date, No LT: the estimated ship date is calculated as the system date plus the number of days entered in the Req Date Offset field in this program. The required date is set to the same value as the estimated ship date.
2. In the Req Date Offset field, enter the number of days to add to today's date for use in obtaining the required and ship dates in sales order entry.
3. Set the Non Stock Allowed pop-list to the desired setting.
* If non-stock items are allowed in the sales order entry programs, set the Non-Stock Allowed pop-list to Allowed.
* If non-stock items are not allowed in the sales order entry programs, set the Non-Stock Allowed pop-list to Not Allowed.
* If you want the program to ask the operator each time a non-stock item is entered, set the pop-list to Ask Operator.
4. Set the Supersede Date Flag pop-list to the desired setting. Items can be superseded in sales order entry programs.
* If you want the items to be superseded according to the sales order date, set the pop-list to Order Date.
* If you want the items to be superseded according to the ship date, set the pop-list to Item Due Date.
5. Set the Initial Order Status pop-list to the desired setting. This pop-list determines whether new sales orders will be created as status I - Incomplete or status O - Open in program OEOE, Sales Order Entry Maintenance.
* When this pop-list is set to Incomplete, new orders will be created as status I - Incomplete orders. The [Open Order] button in the sales order header must be pressed before the status will be changed to O - Open. Incomplete sales orders cannot be shipped in program OESC, Shipping Confirmation or staged with program OSEM, Stage Sales Order for Shipping.
* When this pop-list is set to Open, new orders will be created as status O - Open orders. Open orders can be shipped in program OESC, Shipping Confirmation, and staged in program OSEM, Stage Sales Order for Shipping.
* Sales orders created in program ARIE, One Step Invoice Entry, will be created initially as status S - Confirmed Complete, regardless of the setting of this pop-list.
* Sales orders created from program OQEM, Sales Order Quotation Entry/Maintenance, will be created as status O - Open, regardless of the setting of this pop-list.
6. Set the Stage Split Rule pop-list to the desired setting. The setting of this pop-list determines how sales order lines will be split when automatic staging is performed in program OSEM, Stage Sales Order for Shipping.
* When this pop-list is set to None, sales order lines will not be split when the [Auto Stage] button is pressed in program OSEM, Stage Sales Order for Shipping. The entire order line quantity will be staged on the same staging line.
* When this pop-list is set to Case, sales order lines will be split according to the Case Quantity entered in program ICPM, Inventory Planning Data Maintenance, for the item.
* When this pop-list is set to Pallet, sales order lines will be split according to the Cases per Pallet quantity entered in program ICPM, Inventory Planning Data Maintenance, for the item.
* This pop-list setting is also affected by the CASE_SPLIT_STAGE parameter in program MURM, Initialization Parameter Maintenance*Case_Splitting_during_Sales_Order_Staging_MURM. If the parameter is set to N, the quantity will not be split according to case quantity or cases per pallet regardless of the setting in this program.
7. Set the Item Comment Warning flag to the desired setting.
* When this flag is set to on, the user will be notified that an item has mandatory comments to be read when the item line is committed and the comment indicator
will brighten.
* When the flag is set to off, the comment indicator
will brighten, but no warning will be displayed.
* For more information on item mandatory comments and sales orders, see the Item Comments*Item_Comments section.
8. Set the Save Ship Attn flag to the desired setting.
* When this flag is set to on, when an attention line is passed in from the sales order for a new ship to, it will be added to the Attention line for the ship to code.
* When this flag is set to off, and an attention line is passed in from the sales order for a new ship to code, it will not be saved.
9. In the Quote Effective Days field, if the Save Quote Prices flag is set to on, enter the number of days that the quote price is to be used in the. This determines the effective dates for the price matrix entry.
10. Set the Keep Quotes as 'Won' flag to the desired setting. This flag determines how sales orders will be created from quotes entered for prospects in program OQEM, Sales Order Quotation Entry/Maintenance.
* If this flag is set to off, the quotation will be converted into a sales order, with no changes made. Status will change from Q - Quotations to O - Complete, and the sales order number and suffix will remain the same.
* If this flag is set to on, the quotation status will change from Q - Quotation to W - Won. A sales order will be created from the 'Won' quotation with a new sales order number. Won quotations are included in the calculation of the quote amount on the Forecasts Tab in program PRMM, Prospect Master Maintenance.
11. Set the Save Quote Prices flag to the desired setting.
* Set this flag to on if override quote prices are to be written to the pricing matrix.
* Set this flag to off if override quote prices are not to be written to the pricing matrix.

12. Set the Save Prospects flag to the desired setting.
* When this flag is set to on, and the prospect is converted to a customer, the prospect record will be retained, and the addressing information for the customer and prospect records will be synchronized to match.
* When this flag is set to off, and the prospect is converted to a customer, all current prospect information will be purged.
* Prospects are converted to customers when quotations entered for the prospect are converted to sales orders.
13. Set the Show Unit Cost flag to the desired setting.
* If this flag is set to on, when a stocked item is entered on a sales order line, the unit cost will be displayed.
* If this flag is set to off, when a stocked item is entered on a sales order line, the unit cost will not be displayed.
* Regardless of the setting of this flag, when a non-stocked item is entered on a sales order line, the unit cost can be entered for the non-stock item.
14. Set the Case Qty Warning flag to the desired setting.
* If this flag is set to on, when the quantity ordered for an item is not an exact multiplier of the case quantity for that item, a warning will be displayed.
* Case quantity is entered for items in program ICPM, Inventory Planning Data Maintenance.
15. Set the Enforce Discount LOV flag to the desired setting.
* If the Enforce Discount LOV flag is set to off, no discounts will be able to be entered in sales order entry programs unless a discount record has been entered in program CMDM, Discount Level Maintenance, with the LOV flag set to on.
16. Set the Drop Ship Vendor Mandatory flag to the desired setting.
* When this flag is set to on, and an item is entered in a sales order entry program with the Direct flag set to on, a vendor must be entered on the sales order line.
* When this flag is set to off, a vendor does not have to be entered on the sales order line when the Direct flag is set to on for the line item.
17. Set the Drop Ship Buyer Mandatory flag to the desired setting.
* When this flag is set to on, and an item is entered in a sales order entry program with the Direct flag set to on, a buyer must be entered on the sales order line.
* When this flag is set to off, a buyer does not have to be entered on the sales order line when the Direct flag is set to on for the line item.
18. If backorders should be set on hold automatically, upon creation in OESJ, Sales Orders End of Day & Journals, enter the Hold Code to be assigned to the back orders.
19. Set the Print B/O Invoice flag to the desired setting. When backorders are created through OESJ, Sales Orders End of Day & Journals, this is the setting of the Print Invoice flag for those orders.
20. Set the Print B/O Packing List flag to the desired setting. When backorders are created through OESJ, Sales Orders End of Day & Journals, this is the setting of the Print Packing List flag for those orders.
21. Set the Print B/O Picklist flag to the desired setting. When backorders are created through OESJ, Sales Orders End of Day & Journals, this is the setting of the Print Pick List flag for those orders.
22. Set the Print B/O Acknowledgement flag to the desired setting. When backorders are created through OESJ, Sales Orders End of Day & Journals, this is the setting of the Print Order Acknowledgement flag for those orders.
* The customer must also have the Acknowledgements flag set to on in program CMMM, Customer Master Maintenance, for backorders to have the Print Order Acknowledgement flag set to on.
23. Set the Make BO Ship Complete flag to the desired setting. When this flag is set to on, when a sales order is created for a sales location the B/O Ship Complete flag for the sales order will be set to on. This flag can be maintained for each sales order in the sales order entry programs.
24. Set the Merge Orders flag to the desired setting. When this flag is set to on, any sales orders entered for customers with the Merge Orders flag set to on in program CMMM, Customer Master Maintenance, will be delayed from batch shipment with program OESB, Sales Order Batch Shipping, until the merge time specified in the Merge Time field.
25. In the Merge Time field, enter the time of day that the merged sales orders should be released to shipping with program OESB, Sales Order Batch Shipping.
* The value entered in this field should be entered for a 24 hour clock. For example, 3:00 PM would be entered as 15:00.
* This time is only used if the Merge Order flag is set to on for the sales location.
The Auto Contact feature set up on this tab requires sales orders to be converted to O - Complete status either from a quote, template, or incomplete status to create the new contacts.
1. In the Contact Source CD field, if you are not using auto-numbering for the creation of mail to sequence numbers in program MTMM, Mail To/Prospect Input for Catalogs, enter the prefix for the new mail to records.
* When the contact mail to record is created automatically, the sequence number will be the entry in this field followed by the prospect or customer number.
2. Set the Sold To Auto Contact pop-list to the desired setting. This pop-list determines whether a contact record will be automatically created when a new contact is entered for the sold to address on a sales order.
* Always - when the pop-list is set to Always, a contact record is always created for new contacts entered in the Attn field for the sold to address on a sales order.
* Exclude Drop Ships - when the pop-list is set to Exclude Drop Ships, a contact record is created for new contacts entered in the Attn field for the sold to address on the sales order only when there are no sales order lines with the Direct flag set to on when the sales order is saved.
* Never - when the pop-list is set to Never, contact records are not created for contacts entered in the Attn field for the sold to address on the sales order.
3. Set the Get Sold To Contact field to the desired setting. This flag determines whether the contact will be retrieved for the sold to address.
* When this flag is set to on, the sold to contact and phone number will be determined and entered in the sold to Attn and Phone fields when the sales order is committed.
* When this flag is set to off, no sold to contacts will be entered for sales orders.
* See the Addresses*Addresses section of the Sales Order Entry Features*Sales_Order_Entry_Features for more information on contact selection for sales orders.
4. Set the Ship To Auto Contact pop-list to the desired setting. This pop-list determines whether a contact record will be automatically created when a new contact is entered for the ship to address on a sales order.
For the ship to address only, when a new contact record is created from the sales order, the system will create a new mail to ship to record with the contact assigned. For more information, see the Automatic Contact and Mail To Address Creation section.
* Always - when the pop-list is set to Always, a contact record is always created for new contacts entered in the Attn field for the ship to address on a sales order.
* Exclude Drop Ships - when the pop-list is set to Exclude Drop Ships, a contact record is created for new contacts entered in the Attn field for the ship to address on the sales order only when there are no sales order lines with the Direct flag set to on when the sales order is saved.
* Never - when the pop-list is set to Never, contact records are not created for contacts entered in the Attn field for the ship to address on the sales order.
5. Set the Get Ship To Contact field to the desired setting. This flag determines whether the contact will be retrieved for the ship to address.
* When this flag is set to on, the ship to contact and phone number will be determined and entered in the ship to Attn and Phone fields when the sales order is committed.

6. Set the Invoice To Auto Contact pop-list to the desired setting. This pop-list determines whether a contact record will be automatically created when a new contact is entered for the invoice to code on a sales order.
* Always - when the pop-list is set to Always, a contact record is always created for new contacts entered in the Attn field for the invoice to address on a sales order.
* Exclude Drop Ships - when the pop-list is set to Exclude Drop Ships, a contact record is created for new contacts entered in the Attn field for the invoice to address on the sales order only when there are no sales order lines with the Direct flag set to on when the sales order is saved.
* Never - when the pop-list is set to Never, contact records are not created for contacts entered in the Attn field for the invoice to address on the sales order.
7. Set the Get Invoice To Contact field to the desired setting. This flag determines whether the contact will be retrieved for the invoice to address.
* When this flag is set to on, the invoice to contact and phone number will be determined and entered in the invoice to Attn and Phone fields when the sales order is committed.
* When this flag is set to off, no invoice to contacts will be entered for sales orders.

8. Set the Bill To Auto Contact pop-list to the desired setting. This pop-list determines whether a contact record will be automatically created when a new contact is entered for the bill to code on a sales order.
* Always - when the pop-list is set to Always, a contact record is always created for new contacts entered in the Attn field for the bill to address on a sales order.
* Exclude Drop Ships - when the pop-list is set to Exclude Drop Ships, a contact record is created for new contacts entered in the Attn field for the bill to address on the sales order only when there are no sales order lines with the Direct flag set to on when the sales order is saved.
* Never - when the pop-list is set to Never, contact records are not created for contacts entered in the Attn field for the bill to address on the sales order.
9. Set the Get Bill To Contact field to the desired setting. This flag determines whether the contact will be retrieved for the bill to address.
* When this flag is set to on, the bill to contact and phone number will be determined and entered in the bill to Attn and Phone fields when the sales order is committed.
* When this flag is set to off, no bill to contacts will be entered for sales orders.

10. Set the Soldto Contacts use Shipto Address flag to the desired setting. When the Soldto Contacts use Shipto Address flag is set to on, and contacts are being automatically created and assigned to mail to addresses, the newly created sold to contact will be assigned to the mail address for the ship to address for the customer.

11, Set the Ship Contacts use Soldto Address flag to the desired setting. When the Ship Contacts use Soldto Address flag is set to on, and contacts are being automatically created and assigned to mail to addresses, the newly created ship to contact will be assigned to the mail address for the sold to address for the customer.

12. Set the Update Ship To for Contacts flag to the desired setting.

3. If the Order No Source pop-list in program SPON, Order and Invoice Number Control, is set to Location SPAN Sequence, enter the sequence name in the SPAN Seq Order field. The program will set up a number sequence in program SPAN, Auto Number Control, where it can be maintained.

4. If the Invoice No Source pop-list in program SPON, Order and Invoice Number Control, is set to Location SPAN Sequence, enter the sequence name in the SPAN Seq Invoice field. The program will set up a number sequence in program SPAN, Auto Number Control, where it can be maintained.
